The Manufacturing Fabrication and Maintenance department within the School of Skilled Trades is seeking a dedicated administrative support professional to assist with various program functions. The successful candidate will play a crucial role in supporting both instructional and leadership personnel. Reporting to the Department Head, this position is responsible for a diverse range of administrative tasks to facilitate the effective operation of the program's office.

Key Responsibilities:

  • Serve as the primary point of contact for current and prospective students, providing essential program information and assistance as needed.
  • Assist in program scheduling and maintain accurate student and staff records using the PeopleSoft SA and ATOMS systems.
  • Utilize Microsoft Word and Excel to meet daily program requirements.
  • Coordinate various activities, including textbook orders, student orientations, and the maintenance of program action plans.
  • Prepare essential documents such as student manuals, class lists, and mark collection sheets while managing student files efficiently.
  • Handle reception duties, including responding to telephone and in-person inquiries, scheduling appointments, and addressing the needs of students and staff appropriately.
  • Organize and oversee office operations, including electronic and paper filing systems, and manage supply orders.
  • Maintain electronic student records consistently.
  • Create various forms, program documents, and spreadsheets as required.
  • Operate office equipment, including scanners, photocopiers, and printers, while assisting instructors with course information updates.
  • Document meeting minutes for departmental and program advisory committee meetings.
  • Perform additional duties as assigned.

Skills & Abilities:

  • Proficient in Microsoft Office software with a strong working knowledge.
  • Experience with PeopleSoft and Moodle is considered an asset.
  • Familiarity with NAIT departments and policies is advantageous.
  • Exceptional attention to detail and accuracy is essential for this role.

Qualifications:

  • Completion of Grade Twelve.
  • A related post-secondary certificate or diploma.
  • 2-3 years of relevant experience.
  • Equivalent qualifications may be considered.

Applicants with educational credentials obtained outside of Canada should have their qualifications evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Compensation: $44, $57,140.72 annually, along with a comprehensive benefits package. (Classification – Administrative Support IV).

This position is governed by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
