The Manufacturing Fabrication and Maintenance department within the School of Skilled Trades is seeking a dedicated administrative support professional to assist with various program functions. The successful candidate will play a vital role in supporting both instructional and leadership teams. Under the guidance of the Department Head, this position will encompass a broad range of responsibilities to facilitate the effective execution of administrative tasks within the office.
Key Responsibilities:
- Provide front-line assistance to current and prospective students regarding program details and additional support as needed.
- Aid in program scheduling and maintain accurate student and staff records in the relevant systems.
- Utilize Microsoft Word and Excel for daily program requirements.
- Coordinate various activities, including textbook orders, student orientations, and updates to program action plans.
- Prepare essential documents such as student manuals, class lists, and mark collection sheets while managing student files.
- Handle reception duties, including responding to inquiries, scheduling appointments, and addressing concerns from students and staff.
- Organize and oversee office operations, including filing systems and supply orders.
- Maintain electronic student records consistently.
- Generate various forms, program documents, and spreadsheets as required.
- Operate office equipment and assist instructors with course information updates.
- Document meeting minutes for departmental and committee meetings.
- Perform additional duties as assigned.
Skills & Abilities:
- Proficient in Microsoft Office software with a strong working knowledge.
- Experience with PeopleSoft and Moodle is advantageous.
- Familiarity with departmental policies and procedures is a significant asset.
- Exceptional attention to detail and accuracy is essential for this role.
Qualifications:
- Completion of Grade Twelve.
- Related post-secondary certificate or diploma.
- 2-3 years of relevant experience.
- Equivalent qualifications may be considered.
Remuneration: $44, $57,140.72 annually, along with a comprehensive benefits package. (Classification – Administrative Support IV).
This position is governed by the applicable Collective Agreement.
