The Professional Services Administrator plays a vital role within our team, providing comprehensive support for executive search and research initiatives. This position is dedicated to ensuring that both clients and candidates receive exceptional care and respect. The Administrator will oversee the management of general and application communication channels, collaborating closely with the entire Pathways team while adhering to our established project management protocols and standards of service excellence.

In a remote work setting, the Administrator will handle data entry tasks, upload application materials, respond to inquiries, and maintain up-to-date systems.

Key Responsibilities
  • Process and respond to incoming applications, ensuring timely and accurate communication with all candidates.
  • Manage the general online mailbox, addressing inquiries promptly and directing them to the appropriate team members as needed.
  • Maintain and update the executive search software database, ensuring the accuracy and completeness of candidate information and related data.
  • Execute data entry tasks with meticulous attention to detail.
  • Assist in project research, including identifying potential candidates based on specific search criteria provided by the project team.
  • Support the proofreading of opportunity profiles, candidate profiles, and other recruitment-related documents.
  • Participate in team meetings as required.
  • Handle confidential information with discretion, adhering to all relevant privacy and data protection regulations.
  • Perform additional duties as required, with opportunities for growth and professional development.
Qualifications
  • A post-secondary education in business, commerce, administration, or communications, along with 5+ years of administrative or office experience, is advantageous. Proficiency in English is required, and knowledge of French is a plus.
  • Outstanding written and verbal communication skills.
  • Team-oriented and collaborative, with the ability to work respectfully with a diverse team and client base.
  • Exceptional time management skills; adaptable to changing workloads and priorities.
  • Strong organizational abilities and a commitment to successful project completion.
  • Comfortable using modern technologies and business tools, including CRM software.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with Canadian Indigenous communities and markets is an asset. Indigenous applicants are encouraged to apply.
  • Remote work opportunity with a provided work computer system.
  • Compensation is $20 per hour with a minimum of 25 hours per week, offering a flexible work schedule.
