About the Role

We are seeking a highly organized and detail-oriented Special Events Coordinator to join our team at SUNRAY GROUP OF HOTELS INC. As a key member of our events team, you will be responsible for planning and executing conferences, meetings, and special events that exceed our guests' expectations.

Key Responsibilities
  • Event Planning: Develop and implement event concepts, themes, and logistics to ensure seamless execution.
  • Marketing and Promotion: Create and execute marketing plans to promote events and services.
  • Vendor Management: Research, select, and manage vendors for event services, including catering, audio-visual, and decorations.
  • Registration and Ticketing: Develop and implement registration systems and manage ticketing processes.
  • Logistics and Coordination: Coordinate event set-ups, staging, seating, parking, and communication systems.
  • Speaker and Talent Management: Confirm and coordinate speakers, performers, and other talent.
  • Accommodation and Transportation: Plan and arrange for accommodation and transportation services for event attendees.
  • Trade Shows and Exhibits: Plan and arrange for trade shows and exhibits.
  • Registration Systems and Information Materials: Develop and implement registration systems and information materials.
  • Documentation and Distribution: Plan for required documentation and pre- and post-distribution of documentation.
  • Research and Design: Research and design special events programs.
  • Human Resources and Business Planning: Identify human resources requirements and develop and implement business plans.
Requirements
  • Education: College/CEGEP diploma or equivalent.
  • Experience: 2 years to less than 3 years of experience in event planning, hospitality, or a related field.
  • Skills: Excellent communication and organizational skills, ability to work under tight deadlines, and proficiency in MS Office.
  • Language: English.
