Key Responsibilities:

  1. Patient Interaction:
  • Greeting and Check-in: Greet and check in patients upon arrival, verifying their identity and ensuring they are directed to the correct area.
  • Patient Information: Verify and update patient information and insurance details, ensuring accuracy and completeness.
  • Communication: Answer patient inquiries in person, over the phone, or via email, providing clear and concise information and resolving any issues that may arise.
Appointment Scheduling:
  • Scheduling: Schedule and confirm patient appointments, ensuring that all necessary information is collected and accurate.
  • Calendar Management: Manage the office calendar, ensuring that appointments are accurately recorded and that any conflicts or issues are resolved promptly.
  • Rescheduling and Cancellations: Reschedule or cancel appointments as necessary, communicating with patients and staff to ensure a smooth process.
Administrative Duties:
  • Record Keeping: Maintain and organize patient records and files, ensuring confidentiality and security.

  • Staff Coordination: Coordinate with medical staff to ensure smooth patient flow, communicating with staff to resolve any issues that may arise.
  • Administrative Support: Assist with administrative tasks as needed, such as data entry and filing.
Communication:
  • Phone Management: Answer and direct phone calls to appropriate staff members, ensuring that all calls are handled promptly and efficiently.
  • Message Relay: Relay messages accurately and promptly, ensuring that all necessary information is communicated to staff and patients.
  • Communication Skills: Communicate effectively with patients, staff, and external partners, providing clear and concise information and resolving any issues that may arise.

Qualifications:

  • Education: High school diploma or equivalent; additional training or certification in medical office administration is required.
  • Experience: Prior experience in a medical office or healthcare setting is required.
  • Skills:

Work Environment:

  • Work Setting: This position typically operates in a medical office setting, with occasional evening or weekend hours depending on office needs.
