Job Summary

The Administrative Assistant plays a vital role in supporting the Director of Medical Administration and Academic Affairs, Department Chiefs, and Physician Leaders. This position requires a high level of administrative expertise, organizational skills, and attention to detail to ensure seamless day-to-day operations.

Key Responsibilities
  • Provide administrative support to the Director and Physician Leaders, including scheduling, correspondence, and workflow management.
  • Coordinate meetings, prepare agendas, and take minutes to ensure accurate documentation.
  • Manage and maintain electronic databases, such as CMARS, to ensure up-to-date information.
  • Assist with annual reappointment processes and special projects as required.
  • Develop and maintain strong relationships with internal and external stakeholders, including medical staff, hospital staff, and the public.
Requirements
  • Successful completion of a Medical Administration diploma or related discipline from a recognized Community College.
  • 3-5 years of recent secretarial or assistant experience at a senior level or equivalent combination of education and experience.
  • Demonstrated proficiency in MS Office, Excel, Word, PowerPoint, Outlook, Adobe, and database applications.
  • Excellent communication, interpersonal, and customer service skills.
  • Proven organizational abilities, using self-direction and sound judgment to prioritize workload and coordinate multiple demands and deadlines.
  • Ability to handle sensitive and confidential information in a professional manner.
