Job Overview:

AECOM is seeking a Project Administrative Secretary to provide essential support for our client in managing significant public transit initiatives. This role offers a full-time position with AECOM, where the successful candidate will be assigned to work closely with the client. The position requires occasional attendance at the client's office in a central location, with the flexibility to work from home as needed.

Key Responsibilities:

  • Organize and manage daily operations within the department.
  • Assist in creating and preparing documents, presentations, and reports for departmental use, ensuring timely distribution to relevant stakeholders.
  • Draft and edit correspondence and communication materials, ensuring clarity and accuracy before dissemination.
  • Collaborate with colleagues and external parties on routine administrative tasks as directed.
  • Gather and verify data, ensuring accuracy and consistency in accordance with established guidelines.
  • Maintain and update records and information, tracking progress and follow-ups as necessary.
  • Provide backup administrative support to the team as required.
  • Engage in special projects and initiatives as assigned.
  • Exhibit behaviors that promote a diverse, inclusive, and respectful workplace free from discrimination.
  • Deliver direct administrative assistance to senior project management and project teams.
  • Manage critical project documentation through various approval processes and maintain organized filing systems.

Qualifications:

Minimum Requirements:

  • A university degree in a relevant field and a minimum of four years of administrative experience.

Consideration may be given for equivalent experience or education.

Preferred Qualifications:

  • Experience in a project management setting, particularly within large-scale construction projects, is advantageous.

Skills and Abilities:

  • Effective communication across various platforms.
  • Proficient in maintaining documentation and historical records.
  • Strong organizational skills to manage activities and projects aligned with departmental objectives.
  • Familiarity with office technology, software, and applications.
  • Understanding of administrative policies and procedures.
  • Ability to work collaboratively in a team environment with minimal supervision.
