Qualifications / Skills / Abilities:

Essential Requirements:

  • Completion of a recognized post-secondary program in office administration, coupled with one to three years of administrative or secretarial experience, ideally in a senior capacity.
  • Prior experience in a healthcare setting is advantageous, along with a background in engaging with the public, staff, and board members.
  • Proficient in computer applications, particularly Microsoft Outlook, Excel, Word, PowerPoint, and online tools such as virtual meeting platforms and file-sharing services (skills will be assessed).
  • Typing proficiency of at least 60 words per minute.
  • Exceptional written communication and proofreading abilities (to be evaluated).
  • Experience in scheduling and familiarity with database software is beneficial.
  • Ability to produce precise and timely agendas, minutes, and action summaries for distribution and record-keeping.
  • Capable of creating visually appealing and detailed reports, newsletters, PowerPoint presentations, and various correspondence including letters and memos.
  • Understanding of meeting and committee processes and protocols.
  • Collaborative team player with the ability to work independently.
  • Strong organizational, communication, and interpersonal skills.
  • Excellent critical thinking and problem-solving capabilities.
  • Adept at managing multiple tasks and adapting to unexpected demands, while prioritizing a dynamic workload to ensure timely and accurate completion of assignments.
  • Commitment to maintaining confidentiality.
  • Willingness to travel to different locations as necessary.
  • General awareness of the organization and its various hospital sites.
  • Consistent satisfactory performance and attendance history.
