Position Overview

The Department of Family Medicine is dedicated to enhancing the field of family medicine through innovative education and research in primary health care. The Postgraduate Site Administrator – Academic plays a crucial role in managing the Dalhousie Halifax postgraduate program's academic sites. This position is pivotal in ensuring the smooth operation of all administrative activities, including the coordination of special events and the establishment of effective procedures and guidelines.

Key Responsibilities

  • Serve as the primary contact and resource for the Residency Program, independently managing the Halifax academic site for residents.
  • Ensure compliance with all program requirements by both residents and faculty, overseeing all recruitment and administrative correspondence related to the Halifax program.
  • Supervise and train the Residency Education Scheduler to guarantee that clinical learning experiences are effectively organized for residents, ensuring all residency criteria are met.
  • Oversee the evaluation process for residents at the Halifax academic site, ensuring that feedback for learners, faculty, and academic presenters is collected, analyzed, and communicated as necessary.
  • Organize and participate in special events such as graduations, year-end celebrations, and orientation activities, managing the financial aspects and budget for the Halifax academic site.
  • Facilitate all site-specific requirements for resident selection and accreditation activities.

Note

This role is situated within a clinical academic department, and relevant workplace policies may apply. The successful candidate will have the opportunity for hybrid work arrangements based on operational needs and university guidelines.

Required Qualifications

  • Bachelor's degree in business or a related field, with three to five years of relevant administrative experience in a university context, or an equivalent combination of education and experience.
  • Exceptional written and verbal communication skills.
  • Ability to work autonomously with meticulous attention to detail, alongside strong multitasking and initiative skills.

Assets

  • Experience in staff supervision.
  • Advanced proficiency in computer applications, including MS Office, particularly Excel.
  • Familiarity with webinar platforms and online tools.
  • Knowledge of medical school technologies and software such as DalMedix, One45, and Brightspace.
