Position Overview

Under the direction of the Chief Operating Officer, the Executive Administrative Coordinator plays a vital role in delivering administrative assistance to specific members of the Division of Rheumatology. Key responsibilities include, but are not limited to:

  • Transcribing various documents
  • Compiling and analyzing statistics
  • Reconciling financial records
  • Retrieving journals and articles from libraries and online resources
  • Managing rotations for medical students
  • Taking minutes and preparing meeting agendas
  • Coordinating travel arrangements
  • Processing payroll entries
  • Preparing requisitions for payments
  • Liaising with external organizations and healthcare professionals
  • Scheduling appointments and meetings
  • Maintaining schedules for physicians
  • Organizing meetings and events
  • Filing and record-keeping
  • Preparing claims for reimbursement
  • Handling phone calls and correspondence
  • Processing incoming and outgoing mail
  • Composing various forms of communication
  • Entering data and managing databases
  • Photocopying and managing office supplies

Work Schedule

70 hours bi-weekly. Specific work hours to be determined.

Qualifications
  • High School Diploma or GED required.
  • Completion of a recognized Office Administration Program required.
  • A minimum of six (6) months of relevant administrative experience is required; one (1) year is preferred.
  • A combination of equivalent education and experience may be considered.
  • Preferred experience with Postgraduate and Undergraduate Medical Education programs.
  • Proficient in Microsoft Office and other relevant technology.
  • Keyboarding skills of at least 40 wpm required; 60 wpm preferred (testing may be required).
  • Strong working knowledge of Excel is essential.
  • Experience in scheduling appointments and meetings is required.
  • High initiative, attention to detail, and self-discipline are essential.
  • Excellent organizational, multi-tasking, and prioritization skills are required.
  • Proven ability to work collaboratively within a team and communicate effectively.
  • Experience with One45 is preferred.
  • Experience in organizing events, travel, and meetings is an asset.
  • Familiarity with financial systems is beneficial.
  • Experience with SAP and Microsoft Outlook is an asset.
  • Commitment to ongoing professional development.
  • Graphic design experience is a plus.
  • Experience in taking and producing meeting minutes is an asset.
  • Demonstrated commitment to Family Centered Care is required.
  • Competencies in additional languages are an asset.
