Position Overview

Dalhousie's Faculty of Medicine is dedicated to fostering scientific excellence and humanistic values in the field of medicine. Our mission is to cultivate skilled clinicians, empathetic caregivers, effective communicators, and well-rounded individuals. The Department of Pathology provides comprehensive training programs at the Master's, PhD, and Residency levels. Under the supervision of the Department Administrator, the Graduate Secretary serves as the key liaison and resource for the Graduate Program within the Department of Pathology.

Key Responsibilities

  • Assist graduate students, course coordinators, and faculty by addressing inquiries from current and prospective students.
  • Collaborate with the Graduate Coordinator and Department Administrator to gather course outlines, syllabi, and update the academic timetable and calendar as necessary.
  • Facilitate the coordination of Master's and PhD defenses, manage external examiners, oversee thesis submissions, and support student graduation processes.
  • Handle graduate student payments, ensuring all necessary paperwork for stipends and awards is completed accurately.
  • Work alongside the Department Administrator and Graduate Committee/Coordinator to assess funding allocations from the Faculty of Graduate Studies.
  • Support departmental research initiatives and continuing professional development activities, including organizing meetings and events such as Research Day and the Atlantic Pathology Conference.

Additional Information

The successful candidate will have the opportunity for hybrid work arrangements, combining in-person responsibilities on campus with remote work, subject to operational needs and university policies.

Required Qualifications

  • A diploma in business or administration, complemented by three to five years of experience in a senior administrative role, or an equivalent combination of education and experience.
  • Proven ability to operate within a high-profile, confidential environment.
  • Experience in minute-taking.
  • Exceptional communication and interpersonal skills.
  • Ability to manage multiple priorities effectively.

Preferred Qualifications

  • Experience in a university, governmental, or healthcare setting.
