Job Overview

The Department of Family Medicine is dedicated to enhancing the field of family medicine through education and research in primary health care. We are committed to teaching family medicine residents and medical students while promoting lifelong learning and sharing knowledge with Maritime family physicians. The Postgraduate Site Administrator – Academic, reporting to the Medical Education Manager (MEM), plays a crucial role in managing the Dalhousie Halifax postgraduate program academic sites. This position involves the comprehensive coordination of all administrative activities, including special events, and the establishment of effective procedures and guidelines.

Key Responsibilities

  • Serve as the primary contact and resource for the Department of Family Medicine's Residency Program for Halifax-based residents, independently managing and coordinating the program.
  • Ensure compliance with all program requirements by residents and faculty, overseeing all recruitment, program-related correspondence, and inquiries pertinent to the Halifax academic program.
  • Supervise and train the Residency Education Scheduler to guarantee that clinical learning experiences are organized for residents at the Halifax academic sites, ensuring residency criteria are met and communication with services is conducted professionally and efficiently.
  • Oversee the evaluation process for residents at the Halifax academic site, ensuring that feedback for learners, faculty, and academic presenters is collected, analyzed, and recommendations are prepared and disseminated as necessary in accordance with administrative policies.
  • Manage and engage in special events at the site, including graduation, year-end, and orientation activities, while handling the administrative financial management of these events and the overall budget for the Halifax academic site.
  • Facilitate all site-specific requirements for CaRMS (resident selection) and manage accreditation information and activities for the Halifax academic site.

Note

This position is situated within a clinical academic department associated with Nova Scotia Health facilities, and relevant workplace policies may apply. The successful candidate will have the opportunity for hybrid work arrangements, combining in-person and remote work as agreed upon based on operational needs and university guidelines.

Required Qualifications

  • A bachelor's degree in business or a related field, complemented by three to five years of progressive experience in administration within a university environment (or an equivalent combination of education and experience).
  • Exceptional written and verbal communication skills.
  • Ability to work autonomously with a keen attention to detail, multitasking capabilities, and a proactive approach.

Assets

  • Experience in staff supervision.
  • Demonstrated advanced proficiency in computer applications, including MS Office Suite, particularly Excel.
  • Familiarity with webinar platforms (e.g., Zoom, MS Teams) or online tools.
  • Knowledge of medical school technologies such as Dalhousie intranet DalMedix, One45 (online evaluation program), Brightspace, or similar software.
