About the Role

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at Polar iHealth Clinics. As an Office Administrative Assistant, you will play a critical role in ensuring the smooth operation of our healthcare facilities.

Key Responsibilities
  • Coordinate and Manage Office Operations
    • Oversee the daily activities of the office, including scheduling appointments, managing calendars, and coordinating travel arrangements.
    • Develop and implement efficient office procedures to improve productivity and workflow.
  • Provide Administrative Support
    • Assist with data entry, record-keeping, and other administrative tasks as needed.
    • Prepare and distribute reports, documents, and other materials as required.
  • Communicate Effectively
    • Answer and direct phone calls, respond to emails, and provide excellent customer service to patients, visitors, and staff.
    • Develop and maintain positive relationships with patients, families, and healthcare providers.
  • Manage Office Supplies and Equipment
    • Order and maintain office supplies, including paper, toner, and other essential items.
    • Ensure that all office equipment, including computers, printers, and phones, are functioning properly and are properly maintained.
Requirements
  • Education and Experience
    • Secondary (high) school graduation certificate.
    • 1 year to less than 2 years of experience in an administrative role, or equivalent experience.
  • Work Environment
    • Healthcare institution, facility, or clinic.
  • Physical and Mental Demands
    • Ability to work independently and as part of a team.
    • Fast-paced environment with tight deadlines.
    • Attention to detail and ability to multitask.
