About the Role

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at Polar iHealth Clinics. As an Office Administrative Assistant, you will play a critical role in ensuring the smooth operation of our healthcare facilities.

Key Responsibilities
  • Coordinate and Manage Office Operations
    • Oversee the daily activities of the office, including scheduling appointments, managing calendars, and coordinating travel arrangements.
    • Develop and implement efficient office procedures to improve productivity and workflow.
  • Provide Administrative Support
    • Assist with data entry, record-keeping, and other administrative tasks as needed.
    • Prepare and distribute reports, documents, and other materials as required.
  • Communicate Effectively
    • Answer and direct phone calls, respond to emails, and greet patients and visitors in a professional and courteous manner.
    • Communicate with healthcare staff, patients, and other stakeholders to ensure seamless communication and coordination.
  • Maintain Confidentiality and Security
    • Handle sensitive and confidential information with discretion and professionalism.
    • Ensure the security and integrity of patient records and other sensitive information.
Requirements
  • Education and Experience
    • Secondary (high) school graduation certificate.
    • 1 year to less than 2 years of experience in an administrative role, preferably in a healthcare setting.
  • Skills and Abilities
    • Excellent communication, organizational, and time management skills.
    • Ability to work independently and as part of a team.
    • Proficiency in Microsoft Office and other software applications.
  • Work Environment
    • Fast-paced environment with multiple priorities and deadlines.
    • Ability to work under pressure and maintain a high level of productivity.
