Job Summary:

The Admissions and Registration Assistant plays a critical role in providing exceptional service to prospective and current students, faculty, and staff at Vancouver Island University. This position requires strong communication, problem-solving, and customer service skills to conduct admissions, credential assessment, and registration.

Key Responsibilities:

  • Assess applications to ensure admission requirements have been met, and issue offers of admission.
  • Perform pre-requisite assessments, register students into specific courses, and monitor admission numbers against program seat capacity.
  • Provide high-level attention to detail and produce professional correspondence as a representative of Vancouver Island University.
  • Effectively respond to complex questions from, and liaise with, prospective and current students, applicants, parents, sponsors, faculty, and staff.

Required Qualifications:

  • Two-year related diploma from an accredited institution.
  • Minimum five years' recent relevant experience.
  • Intermediate-level word processing and data entry skills.
  • Intermediate-level keyboarding speed of 50 net words per minute.
  • Intermediate experience using Microsoft applications, including Word, Excel, Outlook, Teams, and PowerPoint.
  • Intermediate experience using videoconferencing software, including Zoom and Teams.
  • Excellent interpersonal and communication skills.
  • Ability to problem solve and work under pressure during peak times and within deadlines.
  • Ability to multitask, organize, and prioritize a large workload while maintaining accuracy and attention to detail.

Preferred Qualifications:

  • Post-secondary undergraduate degree.
  • Experience with a student record system or similar database system.
  • Experience with the Vancouver Island University student information systems and the Vancouver Island University online student record.
  • Knowledge of Vancouver Island University programs and registration procedures.
