About Us

The Correctional Services division within the Department of Justice oversees the management and execution of community and custody-based programs for adult offenders and youth. This division is dedicated to ensuring effective operations in both community corrections and correctional facilities, each comprising various activities that significantly influence the targeted demographic.

About Our Opportunity

As an Administrative Support Specialist, you will play a crucial role in delivering secretarial, reception, and administrative assistance to the Community Corrections office. Your expertise will be essential in coordinating communications and schedules related to Probation Officers' appointments and programs, as well as managing both physical and electronic filing systems.

Primary Responsibilities

In this capacity, you will facilitate daily operations by preparing confidential investigative reports, evaluations, correspondence, and legal documents, often utilizing dictation or digital recordings. You will also handle telephone and reception duties, maintaining ongoing communication with representatives from the Court, Public Prosecution, Policing Services, and community partners. Additional responsibilities include managing financial disbursements, sorting and distributing mail, overseeing supplies and inventory, and submitting statistical reports.

Qualifications and Experience

To qualify for this position, candidates should possess a one-year secretarial or commercial course along with three years of relevant experience. An equivalent combination of education and experience may also be considered. Successful candidates will demonstrate proficiency in typing, word processing, and standard computer applications. Familiarity with the Justice Enterprise Information Network (JEIN), court procedures, and correctional services is advantageous.

We seek individuals who exhibit sound judgment, initiative, and tact when interacting with diverse individuals. Strong organizational skills and the ability to maintain confidentiality are critical. Additionally, the capacity to multitask and adapt to changing priorities will be vital for success in this role.

Additional Information

This is a TERM employment opportunity with an anticipated end date. The appointment status ('term', 'temporary', or 'casual') will depend on the successful candidate's start date.

As part of the selection process, a typing test will be administered to candidates selected for an interview. Following the interview and reference checks, the successful candidate will need to complete a Pre-Employment Questionnaire (PEQ) prior to appointment.

Pay Grade: CL 18

Salary Range: $1,884.17 Bi-Weekly
