Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Rentokil Initial. As a key member of our Support Services team, you will play a critical role in ensuring the smooth operation of our business.

Key Responsibilities
  1. Data Entry and Management: Accurately enter and manage customer data, contracts, and job information into our CRM software.
  2. Customer Account Maintenance: Update customer contact information, process changes to billing, and manage POs and other account-related tasks.
  3. Invoicing and Credit Management: Prepare and process daily and consolidated month-end invoices, apply credit memos as required, and ensure accuracy in our invoice process.
  4. Reporting and Analysis: Create reports in Excel to provide to customers with special requests and verify accuracy of service work tickets and post in CRM.
  5. Vendor Management: Submit vendor invoices for payment processing and monitor weekly uncommitted reports with Branch Managers to ensure route and invoicing completion.
  6. Administrative Support: Assist Sales Reps and the Operations team with looking up customer information in CRM, track business and technician licenses for expiry/renewal, and assemble logbooks (info binders) for customers as required.
  7. Shipping and Receiving: Manage shipping and receiving tasks as needed.
Requirements
  1. 2+ years of administrative experience in a fast-paced professional environment.
  2. Demonstrated proficiency with Microsoft Word, Excel, and PowerPoint.
  3. Knowledge of Google Suite (e.g., Google Docs, Drives, Gmail, Calendars).
  4. Able to learn and use multiple computer systems.
  5. Knowledge of vendor portals is an asset.
  6. Excellent proof-reading abilities.
  7. Strong analytical skills and attention to detail.
  8. Able to multitask in a fast-paced environment.
  9. Prioritize work without direct supervision.
  10. Strong communication (verbal and written) skills.
  11. Able to exercise tact and diplomacy when dealing with others.
  12. Strong work ethic, punctual, and maintain a professional demeanor.
