We are looking for a Benefits Administrator to become a key member of our BPA team.

This role is strictly in-office.
Working Hours: 8:30am – 4:30pm, Monday to Friday

The primary responsibilities of the Administrator include the management of employer benefit contributions reports and the upkeep of enrollment data for benefit plan participants, as outlined by client Collective Bargaining Agreements, contract specifications, and the benefit plan summary. The Administrator ensures that contribution reports are accurately verified to determine benefit plan entitlements for members, identify any employer payment discrepancies, initiate collection efforts, and implement delinquency procedures.

Key Responsibilities of the Benefits Administrator:
  • Acquire knowledge of the relevant Collective Bargaining Agreements and benefit entitlements as per the benefit plan summary to accurately process member and employer information.
  • Receive and process cheques and employer contribution reports daily, ensuring that payments correspond accurately with the reports. Conduct balancing and auditing of reports by reviewing hours, rates, calculations, and any additional necessary information. Allocate funds to employer accounts, requiring close scrutiny of employer reporting for accuracy.
  • Handle a significant volume of member status changes and update employer information monthly. Follow up with employers regarding changes in member status (e.g., Sick leave, layoffs, terminations).
  • Verify the accuracy of Employer benefit contribution reports to ascertain the benefit plan entitlements for members.
  • Monitor employer account details to detect any irregularities or discrepancies in Employer payments (i.e., overpayments or underpayments). Generate monthly delinquency reports to identify missing Employer contributions and follow the established procedures to collect overdue accounts promptly.
  • Escalate unresolved delinquent accounts to management for further investigation.
  • Analyze member status to update eligibility for benefits.
  • Prepare various reports for Union offices as required.
  • Execute monthly queries to categorize members into various self-pay categories.
  • Assist with the monthly distribution of materials to Members and Union offices following monthly updates.
  • Provide support at the front desk during lunch breaks, vacations, and illness.
  • Direct funds and initiate appropriate payments for benefit fund expenses and member entitlements.
  • Engage directly with Benefit Plan participants/members, employers, and Union offices daily to address inquiries related to the Benefit Plan via phone, fax, email, mail, or in person.
  • Comply with BPA and Trust Fund privacy policies.
  • Assist in reviewing T4A's for taxable benefits at year-end.
  • Participate in additional duties and projects as assigned.
Qualifications for Success as a Benefits Administrator:
  • Experience in office administration and clerical processes, particularly in data analysis and account reconciliation.
  • Proficient in PC usage with strong skills in Microsoft Office (Excel and Word are essential).
  • Knowledge of accounting practices is a definite advantage.
  • Demonstrated mathematical skills.
  • Minimum of a secondary school diploma; post-secondary education is preferred.
  • Ability to organize and prioritize workload effectively.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service abilities.
  • Capability to multitask, work under pressure, and meet deadlines.
Preferred Qualifications:
  • Prior experience in the group benefits sector.
  • Fluency in both English and French.
