Accounts Payable Specialist

Position Overview:
The Accounts Payable (A/P) Specialist plays a crucial role in executing data entry and related functions to manage disbursements to individuals, suppliers, corporations, and other entities. This position involves maintaining ledgers, monitoring credit balances, and addressing account discrepancies. The A/P Specialist is responsible for ensuring the prompt and precise processing of payment documents, including purchase orders and expense reimbursements, related to A/P management.
Key Responsibilities:
- Receive and validate invoices for goods and services, preparing them for data entry.
- Oversee the weekly cheque disbursement process.
- Process vendor invoices and credits, ensuring accuracy by cross-referencing invoices, purchase orders, and packing slips, while interfacing with vendors as necessary.
- Prepare and distribute vendor payments.
- Verify and process expense reimbursement cheques.
- Review and manage company credit card payments.
- Provide coverage for reception and accounts receivable tasks.
- Conduct bank deposits and reconciliations as needed.
- Perform additional duties as assigned.
- Possess a solid working knowledge of Microsoft Word and Excel.
- Experience with Visual is advantageous.
- Demonstrate strong analytical skills.
- Exhibit attention to detail and integrity.
- Utilize problem-solving skills effectively.
- Build and maintain professional relationships.
- Manage time efficiently.
Work Environment:
Physical Requirements:
- Work is typically conducted in an office setting.
- Frequent standing, walking, and use of hands and arms are required.
- Corrected hearing and vision within normal ranges are necessary.
- Utilization of office equipment such as computers, telephones, calculators, copiers, and fax machines is essential.
- Ability to wear personal protective equipment as required.
Mental Requirements:
- Adaptability to new assignments as needed.
- Ability to work under deadlines and manage stress effectively.
- Professional handling of various personnel and situational challenges.
Qualifications:
- Experience in accounts payable and/or accounts receivable is required.
Educational Background:
- Post-secondary education in Finance, Accounting, or Business Administration is preferred.
