About Our Opportunity

We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. In this role, you will provide administrative support to the Provincial Victim Services Program, assisting in the delivery of services to victims of crime.

Primary Accountabilities
  • Provide front desk coverage and direct contact with the public, victims of crime, and justice partners to help navigate to the appropriate service.
  • Prepare correspondence, manage databases, and maintain electronic filing systems.
  • Book meetings, prepare statistics, and code block invoices for signature and payment.
  • Order office supplies, prepare quotations for off-site training events, and take minutes for meetings.
  • Maintain regional office general email accounts and support administrative assistants in regional offices and Head Office.
Qualifications and Experience

To be successful in this role, you will have a one-year secretarial or commercial course supplemented by three years of related secretarial experience. You will be proficient in typing, word processing, and other standard computer applications, such as Microsoft Word, Excel, Outlook, and internet use.

You will demonstrate the ability to multi-task, prioritize your work, and be skilled with managing electronic filing systems. As an Administrative Assistant, you will be organized and adaptable in a fast-paced environment, be a strong team player, have good interpersonal skills, be sensitive to the needs of clients, and display tact, sound judgment, and the ability to exercise discretion and confidentiality.

Working Conditions
  • Relief employees fill gaps in the schedule and replace full-time employees when operational requirements demand.
  • Normal work week is 35 hours/week, 7 hours/day.
  • May be required to work overtime on occasion.
  • Stress level may be higher than normal due to the nature of the work and type of confidential information exposed to.
  • High demand for accuracy and attention to detail while working in a complex service area.
