Position Overview
The Assistant Director plays a crucial role in overseeing and enhancing the daily functions of the shelter programs at the Maxwell Meighen Centre. This position is focused on fostering positive relationships with residents and contributing effectively to the Intake team.

Key Responsibilities:

  1. Provide leadership and daily guidance to Hostel/Residential Supervisors, ensuring adherence to established protocols.
  • Conduct regular supervision sessions, documenting outcomes in the PEAC format.
  • Perform probationary and annual performance assessments.
  • Facilitate and document regular team meetings.
  • Offer support to supervisory roles as needed.

Manage the daily operations of the Hostel.

  • Ensure clients receive exemplary customer service from staff.
  • Deliver direct consultation, referrals, and supportive case management to clients.
  • Review and follow up on all Incident Reports, updating client files as necessary.
  • Assist in monitoring disciplinary actions and assessments for clients.
  • Review daily logbooks and ensure appropriate follow-up actions.
  • Coordinate with hospitals and community service agencies for client discharges to the shelter.

Community Engagement Support:

  • Collaborate with the Director in planning and executing programming activities and special events.
  • Assist the Director in addressing community and city-related complaints.
  • Act as a decision-maker in the Director's absence.

Human Resources Assistance:

  • Support staff recruitment, selection, and onboarding processes.
  • Recommend disciplinary actions, including terminations, in partnership with the Director.
  • Organize and facilitate staff training in line with organizational policies.
  • Manage time-off requests and scheduling through UltiPro.
  • Participate in Labour Management meetings.
  • Perform additional duties as required.

Administrative Responsibilities:

Assist the Director in managing shelter administration.

  • Compile monthly shelter statistics for the Director's review.
  • Support the Director in ensuring compliance with Quality Assurance and Accreditation standards.
  • Attend meetings, conferences, and committees as directed by the Director.
  • Schedule and lead meetings, prepare agendas, and circulate minutes as required.
  • Contribute to the development and implementation of shelter policies and procedures.
  • Assist in organizing staff outings and events as requested.
  • Conduct building tours for groups or individuals as needed.
  • Be available for on-call duties.
  • Facilitate resident meetings.

Financial Management:

Support the Director in financial oversight of the Hostel.

  • Authorize bi-weekly payroll for Hostel/Residential Supervisors, Intake Workers, and Dining Room Attendants through UltiPro.
  • Assist in preparing annual budgets for funding bodies and related applications.
  • Help monitor financial expenditures in accordance with budget projections.

Working Conditions:

  • This is a full-time role requiring 40 hours of work per week.
  • Work occurs in an emergency housing facility, necessitating crisis intervention and management of high-stress situations.
  • Exposure to various challenging conditions, including dirt, bodily fluids, and potential verbal abuse.

Qualifications:

  • A minimum of a 2-year diploma in Human Services or a related field.
  • Certification in First Aid/CPR, Crisis Intervention, and CPI.
  • Alternative combinations of education and experience may be considered.

Experience:

  • At least five years of relevant experience, including supervisory, coaching, and mentoring roles.
  • Experience working with marginalized populations facing mental health challenges, addictions, and concurrent disorders, along with knowledge of local resources.

Skills:

  • Ability to work effectively in a diverse and multicultural environment.
  • Excellent written communication skills and proficiency in Microsoft Office 365.
  • High level of confidentiality is required.
  • Willingness to undergo necessary background checks as required by The Salvation Army.
