Position Overview
The Assistant Director plays a crucial role in overseeing the daily functions of the shelter programs at the Maxwell Meighen Centre. This position is dedicated to fostering relationships with residents and enhancing the effectiveness of the Intake team.

Key Responsibilities:

  1. Provide leadership and daily guidance to Hostel/Residential Supervisors in line with established protocols.
  • Organize, conduct, and document supervisory sessions using the PEAC format.
  • Perform probationary and annual performance assessments.
  • Facilitate and document regular team meetings.
  • Offer backup support to supervisors and their duties as necessary.

Manage the daily operations of the Hostel.

  • Ensure clients receive exemplary customer service from staff.
  • Deliver direct consultation, referrals, and supportive case management to clients.
  • Review and follow up on all Incident Reports, updating client files as required.
  • Assist in monitoring disciplinary actions imposed on clients.
  • Review daily logbooks and take necessary follow-up actions.
  • Coordinate with hospitals and community service agencies for client discharges to the shelter.

Support the Director in Community Engagement initiatives.

  • Contribute to the planning and coordination of programming activities and special events alongside the Director.
  • Assist the Director in addressing community and city-related complaints.
  • Provide support and make decisions in the Director's absence.

Assist the Director with Human Resources management.

  • Support staff recruitment, selection, and onboarding processes.
  • Recommend disciplinary actions, including terminations, in collaboration with the Director.
  • Organize and facilitate staff training in accordance with policies.
  • Manage time-off requests and scheduling through UltiPro.
  • Participate in Labour Management meetings.
  • Perform additional duties as assigned.

Managerial and Technical Responsibilities:

Assist the Director with Shelter Administration.

  • Compile monthly shelter statistics for the Director's review.
  • Support the Director in ensuring compliance with Quality Assurance and Accreditation standards.
  • Attend committee meetings, conferences, and agency gatherings as directed by the Director.
  • Schedule and lead meetings, prepare agendas, and circulate minutes as required.
  • Assist in developing and implementing shelter policies and procedures.
  • Help plan and facilitate staff outings and events as requested.
  • Conduct building tours for groups or individuals as needed.
  • Fulfill on-call responsibilities.
  • Assist with resident meetings.

Financial and Materials Management:

Support the Director with Hostel Finances.

  • Authorize bi-weekly payroll for Hostel/Residential Supervisors, Intake Workers, and Dining Room Attendants through UltiPro.
  • Assist in preparing annual budgets for funding bodies and applications as needed.
  • Help monitor financial expenditures in line with annual budget forecasts.

Working Conditions:

  • This is a full-time role requiring 40 hours of work per week.
  • Work is conducted in an emergency housing facility, which may involve high-stress situations and crisis intervention.
  • Exposure to various challenging conditions, including dirt, bodily fluids, and potential verbal abuse.

Qualifications and Education Requirements:

  • A minimum of a 2-year Diploma in Human Services or a related field.
  • Certification in First Aid/CPR, Crisis Intervention, and CPI.
  • Alternative combinations of education and experience may be considered.

Experience and Knowledge:

  • At least five years of relevant experience, including supervision, coaching, and mentoring.
  • Experience working with marginalized homeless populations facing mental health issues, addictions, and concurrent disorders, along with familiarity with resources in the Greater Toronto area.

Skills and Capabilities:

  • Comfortable working in a diverse and multicultural environment.
  • Excellent written communication skills and proficiency in Microsoft Office 365.
  • High level of confidentiality is required for this position.
  • Ability to successfully undergo necessary background checks.
  • Willingness to understand and support the mission of The Salvation Army in Canada.
