Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team at a national transportation company. As an Administrative Coordinator, you will be responsible for daily communication with drivers, customers, and internal departments. Your duties will include data entry into our internal system, extracting reports to ensure accurate invoicing, and providing administrative support to our team.
Key Responsibilities:- Prepare and proofread bills, reports, forms, and correspondences to ensure accuracy and format.
- Work with customs brokers to obtain timely customs entries for PAPS shipments.
- Organize with the dock to ensure accurate loading for outbound lanes.
- Create manifests for outbound loads, ensuring all information is completed.
- Cut line haul order numbers for outbound loads to be sent to dispatch.
- Check and update the Dangerous Goods program to ensure accurate DG placards are input into the system.
- Sort incoming electronic mail and distribute it within departments.
- Interact with customers on a regular basis through phone and email.
- Ensure electronic filing is done and guests/customers are treated in a professional manner.
- Participate in Health and Safety trainings organized by management.
- 1-2 years of experience in a customer service or administration position.
- Bilingual French & English communication skills, both written and verbal.
- Computer skills – MS products, Truck Mate, and web-based programs.
- Demonstrated customer relationship skills and strong conflict resolution skills.
