Job Summary

The Facility Administrator is a key role within Nippon Express Canada, responsible for providing support and assistance to the Branch Manager in the general oversight of the facility and facility functions. This position will act as a primary liaison to various vendors, contractors, and suppliers of the branch, assisting with the day-to-day maintenance of the facility and serving as a bridge to branch personnel for all facility-related and administrative duties.

Key Responsibilities
  • Coordinate with operations teams to ensure branch-level services are provided, including creating and managing a local vendor database to service these operations.
  • Arrange and coordinate schedules with contractors and vendors for repairs, general maintenance of the facility and equipment, and ensure compliance with landlord requirements.
  • Work with Branch management to maintain the building in good condition, including ensuring cleanliness standards and cleaning logs are properly maintained and updated in accordance with GDP requirements.
  • Manage daily mail and courier services, and ensure proper stock levels of cleaning supplies and PPE in office and warehouse areas.
  • Provide assistance in negotiations for rate discussions, review competitive providers to ensure best value in cost and service quality, and manage local vendors and suppliers.
  • Assist in conducting monthly 5S daily walkthroughs, inspect and report any safety, sanitary, or fire hazards, and conduct weekly/monthly security inspections and reporting based on PIP and cargo security compliance requirements.
Requirements
  • 2-3 years of experience in a similar role.
  • Experience with MS Office.
  • General maintenance or handyman skills are an asset.
  • Knowledge of Smartsheet or similar software is an asset.
  • Basic math and accounting skills.
  • Effective communication, organization, and time management skills.
  • Ability to manage and prioritize multiple tasks.
  • Ability to remain objective in stressful situations.
  • High level of sound and independent judgment, reasoning, and discretion.
  • Professional, responsible, and positive work attitude.
  • Knowledge of provincial and federal health and safety regulations and legislation.
  • Ability to maintain confidentiality.
