Job Summary

The Facility Administrator is a key member of the Nippon Express USA team, providing critical support to the Branch Manager and Head Office Administration in the oversight of the facility and its functions. This role serves as the primary liaison to various vendors, contractors, and suppliers, ensuring seamless day-to-day operations and maintenance of the facility.

Duties & Responsibilities
  • Facility Maintenance: Assist and coordinate with operations teams to ensure branch-level services are running smoothly, including creating and managing a local vendor database for services such as cleaning, coffee deliveries, and supply orders.
  • Vendor Management: Arrange and coordinate schedules with contractors and vendors for repairs, general maintenance of the facility and equipment, and ensure compliance with company standards.
  • Administrative Support: Work with Branch management to maintain a clean and well-maintained building, including ensuring landlord requirements are met and proper cleanliness standards are upheld.
  • Contract Management: Manage daily mail and courier services, and provide assistance in negotiations for rate discussions and review of competitive providers to ensure best value in cost and service quality.
  • Safety Management: Assist in conducting monthly 5S daily walkthroughs, ensuring operations are consistent with company health and safety procedures, and inspect and report any safety, sanitary, or fire hazards.
  • Security: Conduct weekly/monthly security inspections and reporting based on company PIP and cargo security compliance requirements, and participate in the company's emergency response team.
Qualifications
  • 2-3 years of experience in a similar role
  • Experience with MS Office
  • General maintenance or handyman skills are an asset
  • Knowledge of Smartsheet or similar software is an asset
  • Basic math and accounting skills
  • Effective communication, organization, and time management skills
  • Ability to manage and prioritize multiple tasks
  • Ability to remain objective in stressful situations
  • High level of sound and independent judgment, reasoning, and discretion
  • Professional, responsible, and positive work attitude
  • Knowledge of provincial and federal health and safety regulations and legislation
