Position Overview

The Facilities Operations Coordinator will primarily operate within the Parkside Village Retail and Office spaces, reporting directly to the Facilities Maintenance & Tenant Improvements Manager. This role is pivotal in supporting the upkeep and enhancement of multiple buildings that encompass both office and retail environments. Responsibilities include conducting routine inspections, documenting instrument readings, and managing the operation, troubleshooting, and repair of plumbing, electrical, and HVAC systems. Availability for on-call duties to address emergency situations during off-hours and weekends on a rotating basis is essential.

Key Responsibilities

  • HVAC Management: Supervise HVAC preventive maintenance, energy management, environmental management, waste management, janitorial services, property upkeep, pest control, and life safety systems.
  • Building Automation: Operate the building automation system and security software for the office tower.
  • Maintenance Coordination: Assist the Facilities Maintenance & Tenant Improvements Manager in coordinating contracted maintenance, major repairs, and capital projects, ensuring that all deficiencies are addressed through ongoing and final inspections.
  • Operational Checklists: Follow up on weekly operational checklists as provided by management.
  • Record Keeping: Maintain an organized filing system and records pertinent to all commercial operations.
  • Additional Duties: Perform various other tasks and responsibilities as assigned.

Painting Duties:

  • Execute painting and minor touch-ups following damage repairs, applying new coats of paint to unit walls between tenant transitions.

Drywall Maintenance:

  • Address small holes from nails and minor dings due to normal wear and tear, primarily during tenant transitions.
  • Conduct basic drywall, lighting, and plumbing repairs as needed.

Customer Service Excellence:

  • Deliver professional, prompt, and courteous communication with tenants when scheduling maintenance services and liaising with contracted vendors.
  • Maintain a strong commitment to customer service while upholding the professional image of property management.
  • Ensure cleanliness, safety, and aesthetic appeal of the commercial project areas, including office tower and retail fronts.
  • Respond to tenant inquiries in a professional manner.
  • Manage incoming maintenance calls effectively.
  • Compile and maintain emergency contact information.

Plumbing Responsibilities:

  • Repair, replace, or install plumbing fixtures such as faucets, pipes, toilets, and garbage disposals.

Electrical Duties:

  • Repair, replace, or install electrical components including switches, fuses, wall sockets, and lighting fixtures.

Appliance Maintenance:

  • Repair, replace, or install major household appliances including refrigerators, dishwashers, and washing machines.

Grounds Maintenance:

  • Perform landscaping tasks such as mowing, weeding, and trimming, as well as maintaining light fixtures and cleaning outdoor areas.
  • Oversee and monitor work performed by external contractors related to maintenance and repairs.

Snow and Ice Management:

  • Conduct snow removal activities and apply ice prevention measures to ensure safe walkways and driveways.
  • Engage in manual labor tasks associated with snow and ice removal and ongoing building maintenance.

Qualifications:

  • Education: Post-secondary education and BES Certification are advantageous.
  • Experience: 3-5 years in a handyman role; property/facilities management experience is a plus.
  • Familiarity with building mechanical, electrical, plumbing, and fire systems is beneficial.
  • Knowledge of mechanical and electrical systems, including pumps and HVAC equipment.
  • Possession of a valid driver's license and access to a reliable vehicle is required.
  • Availability for after-hours emergency calls is necessary.
  • Ability to work independently and communicate effectively with clients, contractors, and staff.
  • Thorough understanding of Occupational Health and Safety regulations and building codes.
  • Physical capability to lift up to 50 pounds and perform various manual tasks.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) is required.
