Role Summary

The successful Administrative Services Coordinator will be integral to our Courtenay Office, working closely with the Business Manager. This role is designed to support our engineers and geoscientists by managing various administrative tasks, ensuring smooth operations within the team.

Key Responsibilities
  • Assist with invoicing, procurement, and logistics.
  • Manage shipping processes and maintain organized filing systems.
  • Conduct data entry into our project management software.
  • Coordinate travel arrangements and support fleet maintenance.
  • Handle incoming calls and facilitate communication within the office.
  • Support timekeeping, invoice generation, and collection processes.
  • Contribute to system administration and fleet management tasks.
  • Assist with safety program initiatives.
  • Perform general office duties to maintain an efficient work environment.
Qualifications

The ideal candidate will possess:

  • Strong planning and organizational skills, with the ability to thrive under pressure and meet tight deadlines.
  • A positive attitude and a commitment to fostering strong relationships with clients.
  • An Administrative Assistant Certificate or equivalent experience.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • A valid driver's license.
