**Executive Assistant**
Linen Chest’s fast-growing Shop at Home Department is seeking a dynamic and experienced Executive Assistant to support the Vice President, Business Development & Shop at Home Director with day-to-day operations and coordination and implementation of special projects.
At Linen Chest, through our shop at home solution, we provide homeowners with expert advice, selling the highest quality products to meet our customers' window decorating needs. We manage all aspects of our customers' projects, from the creative concept through the ordering process to installation.
The Shop at Home Department is actively implementing new products, procedures and solutions to improve the customer experience by developing the sales and technical skills of a sales team of 25 Custom Windows Specialists, Office Staff who are coordinating and processing orders, and providing customer service, overseeing the scheduling and installation of custom window treatments primarily blinds, curtains & shutters, expanding and supporting business development initiatives, and implementing process improvements to the overall workflow.
The primary goal of this role is to support the VP and Shop at Home Director with administrative and other tasks that will allow the Department to implement its objectives and achieve its strategic goals. We are looking for someone who can anticipate needs, be resourceful, think critically and act proactively. Someone who can offer leadership and guidance to the operation office team so we can deliver every day, an exceptional customer experience from start to finish.
**Job Description**:
**Your responsibilities will include.**
**Executive support**
- Provide high-level administrative support to the executive.
- Prepare and edit communication, presentations, and other documents.
- Generate reports and analyses data and makes recommendations when needed
**Project management**
- Assist in the planning, execution, and monitoring of various projects.
- Coordinate project timelines, tasks, and deliverables
- Collaborate with team members (sales team, office team, installers, and suppliers) to ensure project goals are met.
**Office management**
- Oversee office operations ensuring processes are respected and handle incoming and outgoing communication to enhance the customer experience.
- Ensure documentation conformity is maintained and help bring organization and structure to the Department.
- Collaborate and work closely with the Customer Service Team, Office Managers, and Operations & Support Specialist.
- Plan and organize meetings, conferences, and special events.
- Provide administrative, scheduling, and other day to day support of tasks and communications to alleviate the responsibilities of the Shop at Home Director.
**Qualifications**:
**Minimum requirements.**
- Proven experience of 5 to 10 years in a similar role
- Bachelor’s degree in business admin or a related field
- Previous experience in project management and office management an asset
- Fluency in French and English with excellent written and verbal communication skills
- Proficiency in Microsoft Office suite including teams.
- Reliability, responsiveness, ability to build trust and work as a team to enable the Department to reach its full potential.
- Detail oriented with exceptional organizational abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Ability to build strong working relationships with multiple stakeholders based on trust and outstanding customer service.
