Executive Assistant

**Position**:
The Executive Assistant supports the day-to-day activities of senior management, especially the President, and is responsible for a wide range of administrative and organizational tasks
**Main responsibilitie**:
- Schedule management: Schedule, organize, and coordinate appointments, meetings, and travel for the president. Manage invitations, confirmations, and reminders.
- Organize meetings: Prepare agenda, invite participants, reserve rooms and equipment. Provide meeting logistics (reception, refreshments, etc.).
- Take minutes: Attend meetings, take detailed and accurate notes, draft minutes, and distribute to participants.
- Reception and public relations: Greet visitors, manage information requests, and liaise between internal departments and external partners.
- Administrative management: Filing and archiving documents, managing office supplies, and organizing business travel. Attend to the needs of the executive and management team as needed
**Office administration (in the absence of the person in charge)**:
- Book hotels and airfare with our travel management partner.
- Coordinate inventory, orders, and purchases of office supplies and other materials, and follow up for approval as needed.
- Order catering and clean conference rooms.
- Refill coffee machines.
- Manage employee and visitor access cards.
**Requirements**:
**Education and experience**:
- Education: College diploma (DEC) in office automation or related field.
- Experience: Minimum 7 to 10 years of experience in a similar position, ideally at a senior management level
**Skills**:
- Excellent organizational skills: Ability to multi-task, meet deadlines, and work independently.
- Excellent written and verbal communication skills: Fluency in French and English, ability to write clear and concise documents, ability to communicate effectively with diverse audiences.
- Knowledge of IT tools: Knowledge of Google Suite and online communication and collaboration tools.
- Discretion and confidentiality: Ability to handle sensitive information with tact and professionalism.
- Sense of initiative and proactivity: Ability to anticipate needs, propose solutions, and make informed decisions.
- Team spirit and service orientation: Ability to work with other team members and provide effective support to the manager
