Toronto, Canada The Shoebox Project for Women Full time

This position supports the effective financial management, administration and data management of The Shoebox Project, including providing administrative support to our staff and volunteers.

The position will require between 7-20 hours per week, depending on the time of year.

**Responsibilities**

The Administrative Assistant will work collaboratively with the Executive Director (ED) and the Executive Assistant to ensure that the operations of the charity are running as efficiently and effectively as possible, and that the needs of our donors and volunteers are being met. This includes:

- Managing and controlling financial data received via online donations. This involves working with our donor database, third party sites and other online tools, as well as complex spreadsheets programmed by our team.
- Managing all donation data (online and offline) and inputting information into the appropriate funds, using Google Sheets and our donor management system
- Ensuring the integrity and privacy of all data that is collected and stored
- Issuing charitable tax receipts to donors via our donor management system
- Reviewing reimbursement requests from volunteers, approving eligible requests, updating data in Account Statements using Google Sheets / Google Drive, and communicating effectively during this process.
- Creating, managing, reviewing, and restructuring shared files and folders in Google Drive
- Writing professional correspondence to volunteers, supporters, past and potential donors
- Compiling files and documents in preparation for annual audit
- Responding to general inquiries from the public and community partners
- Overseeing other administrative projects and providing coverage for team members, as needed

**Requirements**:

- College/University degree in related field or equivalent experience in a relevant area
- Experience working with financial information and performing accounting duties
- High proficiency using all Google Applications, including advanced knowledge of Google Sheets
- Exceptional organizational skills, with expertise in managing a large amount of data from numerous sources
- Attention to detail is of paramount importance
- Excellent written and verbal communications skills
- Able to work well independently and in a remote team environment
- Superior analytical and problem-solving skills
- Knowledge of, or passion for, issues affecting women who are homeless or at-risk
- Able to maintain strict confidentiality of records and information
- Ability to use their own laptop computer for work
- Fluency in French would be an asset
