**Responsibilities**:
- Supervise the administrative and warehouse staff in the branch
- Assist in the development and implementation of personnel policies and procedures for sales support and customer service areas.
- Directly supervise office and warehouse staff. Perform supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Evaluate and monitor the daily workload of office and warehouse personnel.
- Responsible for hiring, training, education, and performance administration and warehouse teams
- Manage performance evaluation program, including reviewing corrective actions, administering performance improvement plans, and complying with annual performance reviews.
- Inform Corporate HR on all matters that can adversely impact the HR compliance of the branch, region, and company.
- Work collectively with corporate teams to develop and implement efficient processes and procedures.
- Responsible for ensuring adherence to company SOPs.
- Understand and observe all safety procedures and practices in order to prevent injury to self or co-workers.
- Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
- Oversee day-to-day office activities as main point of contact and keep management informed regularly of activities and issues that may arise.
- Assist with developing processes and amending existing processes to be efficient.
- Manage the answering of customer calls regarding orders, inquiries, and problems/complaints.
- Working closely with production, procurement, scheduling and the warehouse in providing support to follow-up on orders to meet customer deadlines.
- Responding promptly to customer inquiries and acknowledging and resolving customer complaints within a 24 hour time frame.
- Work with the sales support team in handling Sales Reps accounts which can include calling customers, requesting renderings, provide pricing, submitting orders to production, making sure orders go out on time, getting shipping quotes, etc
- Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate functions of administrative support tasks.
- Manage all aspects to provide answers, resources, and solutions when requested
- Report to the Operations Manager
**Requirements**:
- Proven experience in office management or similar role
- Proficiency in Microsoft Office Suite with an intermediate-level skill set in Excel.
- Experience in GP and Salesforce and asset
- Strong organizational skills with the ability to prioritize tasks
- Excellent communication skills, both written and verba
- Experience in team management and leadership
- Ability to handle multiple projects simultaneously
- Knowledge of phone systems and office equipment maintenance
- Attention to detail and problem-solving skills
- Distribution, manufacturing, or light industrial experience is strongly preferred (but not required).
- Five or more years of experience in office management.
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
- Fluent English verbal and written required
- French Language asset
- Strong customer service skills, enter sales orders, and communicate clearly and effectively.
- Familiarity with shipping and logistics, domestically and internationally and the administrative tasks that accompany them
- Willingness to learn, teach and communicate with all levels within the company
- Ability to maintain confidentiality of company information
