Thomas Buick GMC is seeking a Receptionist/Administrative Assistant to join our team
The Receptionist will be the first point of contact for all incoming customers attending the dealership for an exceptional customer service experience. You will be responsible for coordinating all incoming inquiries over the phone from customers, directing customers to their respective departments, and maintaining a high level of organization at the receptionist desk. If you are detail-oriented, have a passion for customer service, and an ability to prioritize high-volume tasks then this role is for you
Job Duties:
- Welcome Guests: Warmly greet and assist customers as they enter the dealership.
- Direct Visitors: Guide visitors to the appropriate departments or individuals (e.g., sales, service, finance).
- Answer Initial Inquiries: Provide basic information about vehicles, services, or dealership operations.
- Handle incoming phone calls professionally and courteously.
- Direct calls to the appropriate staff member or department.
- Answer general questions about the dealership’s services, hours, and inventory.
- Accurately record and deliver messages when staff are unavailable.
- Data Entry: Input customer information into the dealership's customer relationship management (CRM) system.
- Maintain organized filing systems for customer documents, sales paperwork, and other dealership records.
- Maintain a clean and welcoming customer lounge, ensuring refreshments and reading materials are available.
- Address minor customer complaints or direct them to the appropriate manager for resolution.
- Stay updated on current inventory, promotions, and new arrivals to answer basic customer questions.
- Assist with basic administrative tasks related to vehicle sales, such as processing deposits or down payments.
- Communicate with dealership staff to relay important information or coordinate customer interactions.
- Sustains a high attention to detail and a positive attitude in a fast-paced environment.
- Additional duties assigned.
- 1-2 years of customer service.
- 1 year of administrative experience.
- Automotive experience is considered an asset.
- Ability to work in a team and strong interpersonal skills with an upbeat and engaging attitude.
- Excellent listening skills.
- Ability to problem solve and high attention to detail.
- Computer skills and understanding of technology.
