The Academic Human Resources Office supports academic administrators and their staff on the full spectrum of Academic HR matters, including recruitment, appointments, tenure, continuing status, promotion, leaves, workload, PTR and retirement. This office also supports academic units in respect of academic unionized employee groups including Teaching Assistants and Course Instructors (CUPE 3902, Unit 1), Sessional Lecturers and Writing Instructors (CUPE 3902, Unit 3) and Postdoctoral Fellows (CUPE 3902, Unit 5).

**Your opportunity**:
Under the general direction of the Coordinator, Academic HR, Equity & Special Projects, the incumbent is responsible for performing day-to-day activities that will assist in the smooth and efficient operation of the Academic HR Office. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, independent judgment, and a need to maintain absolute confidentiality regarding sensitive human resources issues. The incumbent provides a broad range of project and administrative support to the Academic HR Team as they relate to academic searches, salaries, appointments, promotion, continuing status and tenure, part-time continuing appointment review, sabbatical leaves and the annual PTR merit increase process. They are required to use initiative and exercise good judgment in handling inquiries independently or referring them appropriately.

The Academic HR Assistant will actively participate on ad hoc projects as assigned by the Assistant Director, Academic HR and the Coordinator, Academic HR, Equity & Special Projects. The incumbent will proactively identify opportunities to streamline reporting and tracking mechanisms and make recommendations of the same to the Assistant Director, Academic HR and the Coordinator, Academic HR, Equity and Special Projects.

The incumbent will develop close working relationships with staff from the Office of the Dean, Vice-Deans and Finance; staff from the Chairs, Directors and Principals Offices across the St. George Campus, UTSC and UTM; as well as staff in the Office of the Vice-Provost, Faculty & Academic Life.

**General Responsibilities**:

- First point of contact for screening visitors and referring appropriately.
- Responding to enquiries within the defined scope of the role and redirecting as appropriate.
- Responsible for office administration including monitoring the general inbox, reading incoming mail and processing invoices.
- Supporting committees, including scheduling and logístical details, drafting agendas, coordinating materials, action and follow up items.
- Organizing and maintaining complex electronic files.
- Maintaining the Office SharePoint site.
- Entering data and pulling reports from HRIS.
- Collating and organizing data for ad hoc requests.
- Drafting internal and external communications.
- Proofreading and fact-checking content.

**Essential Qualifications**:
**Education**: University degree and courses leading to or completion of CHRP or an acceptable equivalent of education and experience.

**Assets**: Familiarity with Human Resources protocols and practices, Knowledge and understanding of academic health and benefit plans, Knowledge of University of Toronto employment policies, procedures and resources, in particular academic policies, Experience working with HRIS software.

- This opportunity is a term contract until March 2025.
- This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
