About the Opportunity

Job Summary


Reporting to the Global Launch Services (GLS), the Academic Program Launch Assistant will assist on Global Launch Services (GLS) academic program launches, working closely with the Project Manager to create, maintain, and monitor program launch documentation.

The Academic Program Launch Assistant may also assist the project manager with the program launch process by working closely with stakeholders in defining the scope and schedule for the program launch.

She/he will also assist with oversight in the entire lifecycle of the program launch.

In addition, the Academic Program Launch Assistant will assist the GLS Team on advancing the mission of the team with scheduling and documentation.

Minimum Qualifications- Bachelor's degree (or equivalent)- A minimum of five to six years of experience working in a professional setting- An ability to work well in a complex and fast-paced environment- Solid organizational skills, including multitasking and time management- Excellent time-management skills and proactivity- Prior experience with a variety of administrative duties, including scheduling and note-taking- An ability to troubleshoot and problem-solve in response to challenges- Excellent interpersonal skills- Excellent written and communication skills- An ability to work independently and collaboratively within a team- Hands-on experience with Smartsheet project management software- Expertise with Microsoft 365, including Outlook and Teams, and Miro

Key Responsibilities & Accountabilities

Academic Program Launch Management (40%)- Coordinate with the Project Manager the following:

  • Collaborate with all relevant stakeholders in the definition of the scope and schedule
  • Articulate program launches into detailed program launch documentation
  • Monitor and track progress of academic program launches, assisting with the development of reports on performance using the appropriate tools and techniques
  • Formally manage changes to the program scope and schedule
  • Formally document and manage risks and reporting as required
  • Manage implementation of a formal communication plan
Academic Program Launch Support (40%)- Provide time management of academic program launches- Maintain and monitor academic program launch schedules- Organize, attend, and participate in stakeholder meetings to support the Project Manager- Document and follow up on important actions and decisions from meetings- Prepare necessary presentation materials for meetings- Provide administration support as needed

Project Management Support (20%)- Provide administrative support as needed- Collaborate on process improvement initiatives
