Administrative Coordinator

BAM Concept is a general contracting company specializing in high-end residential renovations. Our operations are focused mainly on the island of Montreal. Our team is committed to improving the quality of life of our clients by building functional, comfortable and durable living spaces, while offering workers a healthy, pleasant and safe work environment. We are a multilingual company which operates in French, English and Spanish.
The administrative coordinator will be responsible for directly assisting in business operations and administrative duties. The administrative coordinator will need to communicate well and manage multiple assignments simultaneously. They will require a high level of professionalism in dealing with business contacts inside and outside the organization, along with discretion in handling confidential information. To be successful in this role, you will possess the ability to complete tasks quickly and react with appropriate urgency to situations that require a quick turnaround.

**Duties and Responsibilities and Responsibilities**
- Assist the executive team
- Manage requests from project managers
- Plan meetings and take detailed minutes
- Organize and schedule appointments
- Manage calendars (i.e. Project calendars, Time off requests, etc)
- Communicate with customers, suppliers, and subcontractors
- Assist with conducting due diligence for new project leads
- Data entry and database management
- Maintain contact lists
- Ensure adherence to office policies and procedures
- Preparing and proofreading contracts
- Maintaining office supply inventory & handling office-related services
- Assist in the preparation of regularly scheduled reports
- Assisting in team event planning
**Requirements and Qualifications**
- Proactive and detailed oriented
- Ability to collaborate and work autonomously
- Strong written and verbal language skills
- An ease with people and technology
- Must be organized and able to prioritize tasks
- Must be reliable and punctual
- Proficiency with Google Suite
- Knowledge of Quickbooks, an asset
- English and French are required, Spanish is an asset

**Description du poste**
Le coordonnateur administratif sera chargé d'apporter une aide directe aux opérations et aux tâches administratives. Le coordonnateur administratif devra bien communiquer et gérer plusieurs tâches simultanément. Il devra faire preuve d'un haut niveau de professionnalisme dans ses rapports avec les contacts au sein et à l'extérieur de l'organisation, ainsi que de discrétion dans le traitement des informations confidentielles. Pour réussir dans ce rôle, vous devrez être capable d'accomplir des tâches rapidement et de réagir avec l'urgence appropriée à des situations qui exigent un traitement rapide.

**Tâches et responsabilités**
- Assister la direction
- Gérer les demandes des gestionnaires de projet
- Planifier des réunions et rédiger des comptes rendus détaillés
- Organiser et planifier les rendez-vous
- Gérer les calendriers (calendriers des projets, les demandes de congés, etc.)
- Communiquer avec les clients, fournisseurs, et sous-traitants
- Aider à la poursuite de nouveaux projets.
- Rédiger et distribuer les courriels, mémos, lettres et formulaires.
- Saisie de données et gestion de bases de données
- Gérer la réception des appels et des courriels
- Tenir à jour les listes de contacts
- Assurer le respect des politiques et procédures du bureau
- Préparation et révision de contrats
- Gestion de l'inventaire des fournitures de bureau et des services liés au bureau
- Aider à la préparation de rapports
- Aide à la planification des événements d'équipe
