**OVERVIEW**: Reporting to the IT & Communications Manager, the IT & Communications Assistant provides administrative and technical support within the organization. This includes the 8 First Nation communities that we serve, which involves travel as required.

**KEY RESPONSIBILITES**:

- Provides administrative support to ensure the efficient operations of the team.
- Maintains physical and electronic filing systems.
- Manages calendars and meeting schedules for senior staff.
- Prepare meeting agendas and takes meeting minutes.
- Schedule and coordinates meetings, including set up and catering.
- Draft correspondence as requested, i.e. letters, reports.
- Must be able to prioritize and ensure deadlines are met.
- Upon request will gather and summarize material for reports and presentations.
- Cover front reception as required.
- Must understand office equipment, printers, copiers, scanning, switchboard etc.
- Maintains confidentiality and adheres to policies and procedures.
- Conducts themselves professionally in and out of the office.

**DEPARTMENT SPECIFIC RESPONSIBILITIES**:

- Assist with the development and maintenance of the SAI website.
- Assist with coordinating internal and external communication with SECFS, SERDC Communities and stakeholders.
- Assist with development and editing organizational communications and documentation.
- Point of contact for external IT provider; work with IT & Communications Manager to respond to IT needs of the organization.
- Monitor organization of network drives in conjunction with various program areas to ensure electronic databases are effectively managed.
- Maintain inventory of IT and related office supplies, and electronic equipment.
- Develop, maintain, and distribute informational, promotional and program material for a variety of audiences that have been approved by Executive Management.
- Maintain, update, and distribute SAI Organizational Chart and Contact List
- Collaborate and communicate IT needs with program area administrative assistants. Perform general administrative duties as assigned.

**QUALIFICATIONS**:

- Post-secondary education or experience in Communications or IT related field would be considered an asset.
- Proven skills in developing and maintaining websites and social media.
- Experience working with Adobe Creative Cloud (Acrobat, Photoshop, etc).
- Strong proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams, etc.).
- Strong interpersonal skills and ability to work in a fast-paced environment with a high attention to detail and accuracy.
- Proven oral and written communication skills.
- Ability to work both independently and as part of a team.
- Knowledge of communications best practices.
- Possess a high level of creativity.
- Knowledge of the Child and Family Services (CFS) sector and legislation an asset but not mandatory.
- Demonstrate knowledge and/or understanding of Indigenous perspectives, First Nations culture and traditional philosophies.
- Ability to speak Anishinaabe is an asset.
- Satisfactory Child Abuse, Adult Abuse, Vulnerable Person check and Criminal Record check completed prior to employment.
