Administrative Assistant

**Job Duties**
- Report directly to Group Manager - Dive Services Group
- Provide administrative support to Dive Services Group personnel, as well as other staff as required
- Word processing and proofing of documentation including reports, proposals, correspondence, memos,
invoices, etc., using the Work Order process
- Assist with determining Request for Proposal requirements and ensuring requirements are met
- Process Project Closeouts for Marine Group
- Maintain database of dive crew/supervisor time and MOL Notice of Project numbers
- Design/maintain database to record/track employee training records; also maintain hard copy training records
for each employee
- Assist with the maintenance of vendor qualification databases (ISNetworld, PICS, Browz, etc.)
- Maintain organized filing system including project files as well as electronic files
- Enter dive personnel timesheets into the accounting system on a weekly basis
- Coordinate travel arrangements (flights, accommodations, car rentals) as requested
- External Purchase Order administration, recording, acknowledgement, distribution
- Administration of WSIB Clearance Certificates and Certificate of Insurance
- Assist Receptionist with answering phones as needed
- Provide administrative support to Joint Health and Safety Committee
- Operate various types of office equipment
- Record and distribute meeting minutes as required
- Photocopying and binding of documents
- Prepare and track outgoing courier packages as required
- Administration and maintenance of all ISO documents as per SOP 4.2.3.
**Hours of Work and Travel Expectations**
Scheduled hours are 8:00am-5:00pm; may be expected to arrive early or stay later occasionally, as needed.
