Receptionist/administrative Assistant

**Spartan Response **is actively recruiting for a full-time **Reception/Administrative Assistant **based out of our Stoney Creek office. This role is essential in providing exceptional front desk support and administrative assistance, ensuring smooth operations within our office.
We're looking for an energetic, well organized, administrative professional with a minimum of 2-years’ experience who can hit the ground running and thrive in a fast-paced, project & team-oriented environment. This role is ideal for those who have an exceptional multi-tasking, process-oriented skill-set with the ability support a wide range of tasks for reception, customer service and office support for the finance/operations teams.
- *This is a 6 month contact with the possibility of a permanent full-time position._
**Reception Responsibilities**:
- Greet and assist visitors in a friendly and professional manner at the front desk.
- Handle & direct incoming phone calls, providing excellent phone etiquette.
- Manages couriers, deliveries & daily mail (incoming/outgoing).
- Order catering for meetings & staff events as requested.
- Coordinates inventory & ordering for office supplies.
- Coordinates inventory & ordering for kitchen/coffee service supplies.
- Assists with travel booking (hotel, flights & cars) as requested.
- Maintain a clean and welcoming reception & kitchen area.
**Administrative Responsibilities**:
- Assistance with coordinating daily paperwork for active jobs: Work orders, manifests, consumable forms, etc. in preparation for invoicing. Identify and track down missing documentation as requested.
- Assistance with operations staff paperwork: Ensure the timely collection of time sheets, vacation forms, expense forms.
- Support finance team in various cross-reference tasks and basic invoicing.
- General clerical support for printing & scanning hard copy & digital filing system related to client job folder/documentation.
- Support inventory counts as required.
- Maintenance and updates of vendors, suppliers & new client forms in company CRM.
- Other duties as assigned.
**Education, Work Experience & Skills Required**:
- 2+ years’ experience in a fast-paced, project-oriented administrative role.
- Post-Secondary education (College or University)
- Exceptional multi-task, organization, analytical, process-driven skill set.
- Must be comfortable working in a fast paced, team & customer-centric environment.
- Must be able to take direction and execute with mínimal supervision.
- Must have professional communication skills verbal, in person, and in writing.
- Strong ability to manage multiple priorities & deadlines.
