Reception/administrative Assistant

The Administrative Assistant will be required to perform an array of front office administrative duties including the processing of all donations with a high degree of accuracy.
This role will also act as a first point of contact and provide general information to donors, clients, and the public.
**Donations and gift processing**
- Enter all donations in Raiser’s Edge.
- Process Charitable Tax Receipts with solid understanding of CRA requirements.
- Ensure thank you letters and tax receipts are sent out in a timely manner.
- Run queries and create reports in Raiser’s Edge.
- Process credit cards and pre-authorized debits.
- Maintain donor files.
- Ensure the accuracy and completeness of donor records: to include researching addresses when mail has been returned and contacting donors for contact information.
- Assist with special projects including direct mail.
**Administration**
- Prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports.
- Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence.
- Maintain and monitor office supply inventory levels; place orders as required; and arrange for servicing of office equipment.
- Photocopy and organize documents for distribution, mailing, and filing.
- Review documents, reports, and correspondence for format, content, grammar, and spelling; make edits as necessary.
- Locate filed materials upon request, ensuring that materials are given only to authorized parties.
- Prepare background documentation and research for reports.
- Maintain an organized and clean administration area.
**Requirements**:
- Experience in gift processing using Raiser’s Edge is an asset
- A post-secondary degree or diploma in administration, business, or a related field
- Excellent problem-solving skills
- Able to maintain a high level of confidentiality
- Excellent written and spoken English communication skills
- Computer literacy, including effective working skills of MS Word, Excel, and Outlook
- Ability to work individually as well as part of a team
- Superior telephone manners and strong interpersonal skills.
- Strong writing, editing, and proofreading skills
- Ability to adapt to new technology
- Ability to prioritize and manage conflicting demands
**Work Conditions**
- Operation of desktop computer and peripherals
- Able to occasionally lift items up to 25 pounds
- Extended periods of sitting
- Interaction with employees, management, and the public at large
- Working in a busy office environment with frequent interruptions
