**Job Overview**

We are looking for a quick witted person with construction industry experience to assist and ease the workload of the executive by taking on coordinating and administrative duties, leaving the executive to focus on the decision making.

**Responsibilities can include but are not limited to**:

- Anticipate issues and initiate appropriate action to ensure the most effective use of executive’s time.
- Responsible to spearhead meetings and take appropriate action to follow up with each parties
- Oversee status of all projects and maintain detailed list on behalf of executive
- Gate Keeper of executive's time while ensuring discretion and strict confidentiality
- Responsible to manage the donations summary, Christmas list, and other lists
- Responsible for project coordination
- Responsible for the catering
- Responsible for bank runs
- Provide day-to-day administrative support including; filing, faxing/scanning, research, obtain quotes, purchase orders, drafting and preparing correspondence
- Assist with the management of Website & other Media; current & updated on a regular basis.
- Generate and maintain various reports & spreadsheets.
- Track, Coordinate, Standardize and Order Office Supplies & Stationary Supplies

**Requirements**:

- Excellent interpersonal, written and oral communication skills
- Ability to take initiative and demonstrate approach to needs as they arise.
- Strong organizational and time management skills
- Strong attention to detail
- Self-motivated, proven ability to work independently and as a member of a team.
- Complete tasks in a professional and timely manner with accurate results.
- Strong planning and problem solving skills
- Good mathematical skills
- G license with clean abstract

**Education and Experience**
- College or University degree.
- 5-10 years of demonstrated experience as an Administrative Assistant.
- Office experience in the construction industry a plus
- Accounting background an asset
