**The detail-oriented Administrative Coordinator will support agents, our clients, and our administrative manager.**

**Responsibilities**:

- Workflow Management: Execute workflows for new listings, sold properties, purchases, and closed listings, including follow-ups, coordination with lawyers, and database management.
- Marketing Assistance: Preparation of marketing materials, including posters, feature sheets, Facebook ads, and door-knocking materials. Assisting with E-newsletters, mail-out newsletters, social media, and event advertising.
- Transaction Management: Organize documents and ensure completion of transactions with the deals department.
- Listing Management: Loading new properties on MLS, ensuring the accuracy and completeness of the information, and maintaining the back-end instructions.
- Client Relations: Regularly liaise with agents, lawyers, head office, and clients to facilitate smooth operations.
- Agent Support: Assistance in the preparation of open houses, and organization of agent's customer relationship management (CRM) system.
- Administrative Support: Assist the Administrative Manager with event coordination, marketing planning, bookkeeping, office needs, and ongoing projects.

**Areas of Responsibility**:
As an Administrative Coordinator, you will report to and closely collaborate with our

Administrative Manager to ensure the completion of administrative tasks supporting our team's listings, purchases, clients, events, and overall operations.

**Job Requirements**:

- Minimum of 2 years of administrative experience.
- Proficiency in using Canva for graphic design purposes.
- Familiarity with WordPress or other website platforms for content management.
- Proficient in utilizing Google Suite for various tasks and collaboration.
- Experience working with customer relationship management (CRM) systems.
- Experience assisting executives, agents, or multiple team members.
- Ideally, possess knowledge and experience in the real estate industry.
- Ideally, has familiarity and experience working with the Toronto Real Estate Board

(TREB).
- Ideally, has experience using QuickBooks for bookkeeping and financial management.

**Position Details**:
Location: 1945 Queen Street East

Time Commitment: Full-time, Monday-Friday, 9 am-5 pm, with some after-hours availability as required.

Compensation: $55,000 annually, paid bi-weekly.

Additional:

- KM vehicle allowance of $0.61/km when traveling for errands.
- Two weeks of paid vacation per year. Please note that we are closed over the Christmas break from Christmas Eve until public school returns in session. During this time, team members are expected to be available for customer requests but otherwise off work.
- Benefits will be provided after the probation period.

**Salary**: $55,000.00 per year
