**Position: Administrative Coordinator**

The Administrative Coordinator will play a pivotal role in managing administrative tasks and coordinating the operations of different departments. This role involves supporting the assessment and treatment process, maintaining accurate records, facilitating communication among team members, and ensuring the efficient flow of operations.

**Responsibilities**
- Assist in coordinating and scheduling psychological assessments and treatments, including intake procedures and client appointments.
- Maintain accurate records using web-based tracking systems to monitor timelines, due dates, and reporting expectations.
- Serve as a point of contact for clients, clinicians, and external stakeholders, providing information and addressing inquiries regarding assessments and related administrative processes.
- Collaborate with clinicians to ensure timely completion of assessments and adherence to established protocols.
- Review reports to edit non-medical errors such as spelling, grammar, and formatting, ensuring the highest quality standards are met before submitting them to clients.
- Liaise with insurance companies and other third-party entities to facilitate necessary authorizations and billing processes.
- Support the formatting and preparation of reports according to specific requirements and service-level agreements.
- Provide exemplary and timely customer support to communicate with clients, outlining their treatment plan trajectory.
- Maintain accurate and up-to-date client records, adhering to privacy regulations and confidentiality guidelines.
- Facilitate referrals to specialized services or additional treatment providers as needed.
- Provide ongoing support and education to clients and their families regarding treatment plans, resources, and community support services.
- Collaborate with the administrative team to manage appointment scheduling and ensure timely delivery of services.
- Work with insurance providers to obtain necessary authorizations for treatment services.
- Optimize workflow, re-prioritize tasks, and communicate updates to relevant parties.
- Identify areas for enhanced efficiency and propose solutions to improve processes.
- Maintain confidentiality and comply with privacy regulations in handling sensitive client information.
- Provide exceptional customer support to internal and external stakeholders, primarily through phone and electronic communication.
- Assist in the training and onboarding of new administrative staff members.
- Participate in team meetings and contribute to developing and implementing departmental policies and procedures.

**Qualifications**
- Bachelor’s degree in business, medical office administration, a healthcare-related field, or a post-secondary degree/diploma.
- Minimum of 3 years of proven experience in administrative coordination or related roles, preferably in a mental health or clinical setting.
- Extensive organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Strong attention to detail and accuracy in maintaining records and preparing reports.
- Exceptional communication, problem-solving, and interpersonal skills, with the ability to collaborate effectively with colleagues and external stakeholders.
- Extensive information technology background in using Google Workspace.
- Familiarity with electronic health record (EHR) systems and web-based tracking systems is an asset.
- Knowledge of privacy regulations and experience handling confidential information.
- Ability to adapt to a fast-paced and dynamic work environment.
- An empathetic and compassionate approach to dealing with clients and their families.

Pay: $42,000.00-$48,750.00 per year
