The Opportunity
The SAIT Student Awards program is an $8+ Million program facilitating scholarship and bursary selection of over 5,000 awards per year funded by alumni, industry partners, government and donors who are committed to student success. Reporting to the Manager, Advancement Services and Student Awards, the Student Awards Administrator is responsible for the selection of these awards, managing work tied to award deadlines, working with academic partners for scoring and ensuring documentation is complete for all selections.
This role performs complex administrative work in a multi-faceted support services operation. This position works closely with peers, as well as faculty and SAIT administrative staff. This position is responsible for ensuring that all documentation is accurate and reflects the agreements in place with donors.
The Student Awards Administrator works closely with the Student Awards leadership in maintaining all external and internal awards. The SA Administrator is responsible for the final analysis, scoring and selection of awards, and working closely with Academic Chairs, Deans and/or instructors to ensure fair and impartial evaluation of applicants. Excellent organizational and communication skills are essential along with an ability to be very detail oriented to ensure accurate and defensible selection and record-keeping.
The Student Awards Administrator must be able to implement and maintain an extensive database system on all internally administered awards. This requires a good foundation on how databases work so that information from donors, awards and recipients are linked, and donors receive accurate information regarding the status of their awards and recipients. In addition, this position is involved in process assessment, review and modification to ensure efficient, accurate and timely distribution of awards.
This role influences both student engagement and donor satisfaction, encouraging continued and increased involvement, participation and financial investment in SAIT through maintaining an effective Student Awards program.

The Role
Analysis, scoring and selection of recipients for SAIT's Scholarships and Awards Program
SAIT donor awards - Banner
Administrator scoring
Develop and follow scoring rubrics consistently.
Managing external scoring
Prepare correspondence to academic partners who will be assisting with the criteria scoring.
Facilitate scoring workshops with teams from the schools to ensure efficient and effective scoring.
Monitor the progress made within each academic department in providing scores or nominations as requested and confirm eligibility of nominations as needed.
Work according to required timelines including ensuring timely entry of all returned scores.
Build relationships with academic partners ensuring close and clear communication.
Finalization of Student Recipient
Finalizing fair and impartial selection of awards
Confirm final eligibility for recipients
SAIT donor awards - other toolsets
Maintain a clear understanding of how to run selection in all award toolsets - (examples: excel, imodules, destiny One)
Scoring, managing nominations, selection for awards that are external the Banner system
Managing deadlines, selection and documentation
Internally facilitated awards
Maintain a clear understanding of externally sponsored awards (athletic awards, government sponsored awards).
Work with Student Awards Coordinator to ensure maximum government funding is available for SAIT students.
Trouble-shoot awards where no recipients are identified
Prepare disbursement upload and enter manual award recipients in accordance with published disbursement schedule.
Ensure criteria and selection measures conform to legislation, code of ethics and standards set by human rights organizations and Canada Revenue Agency.
**Other Duties**:
**Student and Donor Relations**: Assist with facilitation of Student Awards tutorials and participate in student and donor recognition events including Student outreach events (Open House, Orientation etc.) and Student Award recognition events as required.
Assist with producing reports and recipient lists as required.
Assist with training of temporary and new staff
**Process Development**: A critical element of this position is the administration of the Banner Student Aid database system, its relationship to Banner, and the ongoing development of administrative processes to streamline operations and avoid duplication of efforts while maintaining 100% accuracy of output. This individual must always be looking for innovative ways to automate the office operations.

Post-secondary education. Equivalent experience in the field will also be considered
Strong computer skills including working knowledge of Banner Database System, Excel, PowerPoint, and MS Word
