- As the Intermediate Administrative Assistant, you will provide intermediate administrative support assigned to a vast array of leaders and teams within Water Services. A strong level of business knowledge is required to assist with the efficient and successful operational requirements. Well-developed interpersonal and organizational skills are necessary to liaise with divisional staff, other employees within the department, other business units within the Corporation and external clients. Primary duties include:
- Act as Accounts Payable Workflow support, create requisitions, purchase orders, and reconcile corporate credit card transactions.
- Provide visitor and contractor management support with Traction Guest software and the online safety orientation.
- Act as general administrative support including onboarding of staff and space management, ordering of supplies, and daily monitoring of 311 Customer Service Requests.
- Support and maintain filing systems with electronic and physical records.
- Record data entry into asset management system including scanning of pertinent documentation.
- Assist with recruiting activities by printing resumes and interview guides, scheduling interviews, and maintaining records.
**Qualifications**
- A High School Diploma and at least 4 years of related experience; OR
- A completed 1 year certificate in Business Administration, and at least 2 years of related experience.
- Intermediate level of proficiency in Microsoft Office (Excel, Outlook, PowerPoint, and Word) is required.
- A valid class 5 driver's license and the use of a personal vehicle for business use is required.
- Previous experience with Finance & Supply Chain Management (FSCM), Physical Objects, Content Server, Oracle Work & Asset Management (OWAM), SharePoint and 311 Customer Service experience will be considered assets.
- Success in this position requires good customer service and teamwork skills, excellent communication skills, strong planning and organizing skills and the ability to multitask while maintaining accuracy.
