Our client, **Western Canadian Spill Services Ltd. (WCSS)** is actively looking for an **Administrative Assistant** to join their team. This organization embodies the energy industry's commitment to spill preparedness and environmental protection.

WCSS is an environmentally conscious not-for-profit oil spill cooperative owned by western Canada’s energy industry. Their Mission is to ensure that the ~500 member companies have access to cost-effective and best-in-class spill response training and equipment to supplement their own emergency preparedness and response programs.

Working from the **Calgary, AB office**, and reporting to the President and Chief Operating Officer, the Administrative Assistant is at the heart of the organization providing administrative support and expertise to all aspects of the business.

**About the Role**

Key accountabilities of the Administrative Assistant include:

- Formatting/editing/filing various forms, documents, letters, manuals, presentations
- Arranging various Board and Executive Sub Committee meetings by sending notifications and reminders, booking rooms, arranging catering, creating meeting packages
- Supporting maintenance of the website ensuring content is up to date
- Managing office supplies and storage room
- Assisting with accounting duties related to membership data, invoicing, statements and reporting
- Processing credit card payments and completing bank deposits
- Managing the inventory of training manuals, updating and editing content, and processing orders
- Managing the training registration process, creating attendee certificates and responding to general training inquiries

**Qualifications**
- Relevant administrative experience; Oil and Gas or Environmental Management fields would be an asset
- Office Administration Diploma or Certificate
- Intermediate skills with Microsoft Office Suite of products (Word, Excel, PowerPoint, Outlook, Teams) and knowledge of SharePoint
- Experience supporting multiple people/functions at one time, keeping everything organized, on-time and accurate
- Experience successfully coordinating Board level meetings
- Strong English language skills; ability to communicate effectively both in writing and orally
- Service-oriented and a strong communicator
- Energetic, motivated and results driven
- Strong customer service skills with the ability to effectively work with different people and personalities
- Discreet in handling confidential or sensitive information
- ‘Team’ mentality with a willingness to pitch in where needed

**Additional Details**

This position will work from the office in Calgary with an opportunity to work from home occasionally. Travel to the Edmonton-area office may be required on occasion. There will be light lifting required from time to time.

**Salary**: From $50,310.00 per year
