**SUMMARY**
Wellspring Niagara Cancer Support is a not-for-profit, charitable organization that supports people living with cancer, their caregiver, and family members. We serve the Niagara region and currently seeking an Administrative Coordinator to join our team.
At Wellspring Niagara we provide a caring community by offering free in-person and online programs, so anyone living with cancer, their caregiver, and family members can access vital information, meaningful support, and effective coping strategies.
**DESCRIPTION**
Wellspring Niagara is seeking an experienced Administrative Coordinator to help with organizing our day-to-day administrative operations and financial aspects of our organization. This position requires an independent worker who will support operations and daily activities.
**RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO**:
**Administrative**
- Record and control office and program inventory supplies and negotiates and purchase supplies and equipment in accordance with budgetary restrictions
- Record minutes from the monthly board of director meetings, and other board-appointed meetings. Assist the Executive Director with the preparation of documents to be distributed.
- Maintain updated board lists and board orientation binders.
- Maintain communication with volunteers and staff regarding changes to policies.
- Ensure Raiser's edge records are updated and changed as needed.
- Collect and distribute mail.
- Assist and provides support to the Executive Director with general administrative duties.
- Support and assist the Program Coordinator and Community Engagement and Events Coordinator as required
- Other related duties as assigned.
**Finance Support**
- Process all cash, credit card, and cheque transactions from donation payments, store purchases, and special events.
- Prepare monthly charitable and business receipting and thank you letters in a timely manner.
- Prepares monthly program reports, as required.
- Database inputting, maintenance, queries, and updating for Fund development, programs, and donations
- Assist with the preparation of bulk mailings i.e. newsletters, campaigns
- Assist with weekly bank deposits and reconcile monthly transactions, and year-end transactions, and assist with the year-end audit.
**Qualifications**
- 2-year post-secondary in a related field
- Minimum of 2 years of administrative experience preferably in the non-profit sector.
- Excellent writing, analytical, and research skills are essential.
- Exceptional communication skills, a strong teamwork ethic, and demonstrated strong planning and organizing abilities.
- Well-organized, self-motivated, detail-oriented, creative, strategic, professional, and able to manage multiple projects under tight deadlines.
- Accounting and general bookkeeping knowledge is an asset.
- High-level computer literacy, including database management software (Raiser’s Edge), and MS Office/Windows.
- Experience and knowledge of the use of QuickBooks and Adobe InDesign is an asset.
- Ability to work and make decisions independently.
**Conditions**
- The position will work a standard 35-hour work week.
- A Police/Criminal Reference Check is required.
- Complete COVID-19 Vaccination series.
- A valid “G” driver’s license is required with access to a reliable vehicle.
- Required to attend Wellspring’s volunteer training program.
- Required to attend and assist at any Wellspring Niagara special events.
- Ability to work flexible hours with possible evenings and weekends.
- May be required to attend orientation sessions at other centres within the Wellspring network.
**SUBMISSION AND APPLICATION INSTRUCTIONS**:
Pay: $39,000.00-$44,000.00 per year
