Job Description**What you’ll be doing**:
- Acts first point of customer contact on a team operating a government-funded Employment Services Centre in Downtown Vancouver, helping jobseekers ages 15-30 years old connect to employment and develop their career paths
- The Career Zone operates four youth employment programs: WorkBC, Strive, Gear Up and ACCELERATE (an individual description of each program can be found on the YWCA’s website). The Office Administrator will be responsible for submitting financial statements and ordering supplies for all four programs and assisting with additional tasks as needed
- Performs reception duties, including regular contact with potential clients - on the phone and in person - providing information on programs and referrals to other agencies and community resources
- Responds to and resolves issues regarding maintenance, lease, telephone, janitorial and alarm system, and elevates any major concerns to the ESC Senior Operations Manager as necessary
- Assist case managers with entering clients into two separate databases (Integrated Case Management)
- Maintains client database for all clients who register at the centre
- Offers office support to colleagues and clients such as booking appointments, data entry, photocopying, faxing, answering phone inquiries, correspondence, purchasing supplies, and petty cash
- Assists with the orientation of new staff/practicum students to the WorkBC ESC workplace environment and YWCA policies.
- Responsible for Annual Inventory Control
- Ensures invoices are coded, signed by the ESC Senior Operations Manager and sent to head office in a timely manner
- Other duties as assigned
**What you’ll need**:
- Excellent communication skills working a variety of people and different levels of government and the business community
- A demonstrated positive attitude towards change
- Strong computer skills in Microsoft Office Applications
- Outstanding customer service skills
- Comfort working in the front line of a busy centre, working with a range of clients including homeless clients, clients with mental health concerns, and clients with disabilities
- Strong administration and organizational skills, with excellent attention to detail
- Ability to build effective relationships with internal and external stakeholders
- Experience with ICM system an asset
- Ability to converse in French would be considered an asset
- Proven past experiences working with at-risk youth would be considered an asset
- A valid clear criminal record check (including working with vulnerable populations) is required.
The YWCA Metro Vancouver’s COVID-19 vaccination policy is currently suspended and as a result, vaccination from COVID-19 is not required at this time. However, should circumstances change and the YWCA deem it necessary to reintroduce such policy, you may be required to provide proof of vaccination against COVID-19 in order to be eligible to continue performing your duties.
