We see every client as the individual they are and work hard to ensure the right therapist fit. We offer in-office and online counselling to all Alberta Residents.

This admin position will be based out of our St. Albert location but will be supporting all Summit locations from this office.

**To succeed in this role..**

You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, think 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients.

**Responsibilities**
- Supporting Psychotherapists, Psychologists and Social Workers with client bookings, payments, administrating intake & consent forms, etc.
- Oversee the day-to-day operations of the clinic, ensuring smooth and efficient workflow
- Maintaining Quality Assurance (following up on payments, securing payment information, uploading secure documents, managing the booking software, including schedules and treatments offered)
- Maintenance of office area, office supplies, and clinical files
- Claims confirmations from Insurance companies
- Train new staff (admin and therapists) on clinic procedures and policies
- Develop and implement policies and procedures to ensure high-quality client care and client satisfaction
- Ensure compliance with regulatory requirements and industry standards for psychotherapy clinics

**Qualifications**
- 3-5 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
- Experience managing a multidisciplinary team
- Great at conflict resolution and open to constructive feedback
- Psychology undergraduate students and graduates are welcome
- Previous experience in a managerial or supervisory role (preferred)
- Strong knowledge mental health
- Familiarity with electronic medical record systems such as eClinicalWorks or Epic
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities
- Ability to work collaboratively with a diverse team of healthcare professionals
- Dynamic, self-motivated individual with the ability to work independently, proactively and well under pressure
- Strong communication skills, ability to communicate professionally and with compassion to clients with patience when dealing with challenging clients
- Confidence to share ideas and constructive criticism to help us grow
- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
- Tech savvy (we are mostly paper-less, and everything is online)
- An appetite for innovation and simplicity who is highly process oriented
- Working autonomously comes easy to you, but you also love collaborating with a talented team
- Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Mac, and Windows in a work environment. Knowledge of Jane App Software scheduling software is an asset
