Administrative Clerk II, Environment and Climate Resilience- Job Number : 45135This position is responsible for complex office administration, including direct support to the director, and specific functions, such as support for internal and external committees, including meeting and reporting support, correspondence, and moderately complex clerical work. The Administrative Clerk works independently and acts with the utmost confidentiality and diplomacy.

**Responsibilities**:

- Prepare and share working documents for section, branch, department, and Council correspondence
- Review and track incoming correspondence for continued delegation, providing advice and assistance with composing, editing, researching, and reviewing documents; proofreads written materials for format, grammar, and content prior to obtaining signature
- Work with other administrative professionals to develop, standardize and enhance processes and procedures for the section
- Attend meetings chaired by the director or section leaders, collect and prepare meeting materials and background information and agendas, as well as take, prepare, and distribute minutes
- Assign work or solicits input from the appropriate areas on behalf of the director
- Prepare the director by researching and compiling pertinent background information for briefing purposes to external stakeholders, City Council and Committees, or meetings with the branch manager, deputy city manager, other City business areas, partnership groups, and other orders of government
- Liaise with the branch manager's office in processing reports, correspondence, and formal and informal inquiries
- Monitor and provide trend analysis on various internal statistics, including travel and training costs, and annual performance conversations
- Advise the director of the status of initiatives, and maintain and monitor an accurate and timely list of action items to alert the directors and supervisors of deadlines
- Support the development of office principles, procedures, and systems
- Perform other related duties as required
- Qualifications:

- Minimum of three (3) years progressively responsible, diversified administrative experience in a fast-paced, highly political office setting dealing with upper management, and demonstrated computer competency.
- Must be able to manage a large volume of changing, varied, and complex priorities, seeking clarity of deadlines, expectations, and negotiating acceptable compromises as required.
- Excellent written and verbal communication skills
- Previous supervisory experience, including staff performance management and delegation of duties, is an asset
- Must be highly self-motivated and produce quality, error-free work
- Business acumen and experience working with management positions, along with the ability to maintain and influence relationships without having a formal level of authority over others
- Ability to deal with confidential information with a high degree of judgment and discretion
- Ability to recognize politically sensitive issues and bring matters of priority to the attention of the director
- Ability to identify key and critical items for timely response
- Must have strong interpersonal skills with the ability to deescalate concerns; the Clerk will receive daily requests for direction, input, and clarification in managing diverse and sometimes complex requests
- Advanced knowledge and experience with Google Suite
- A focus on excellent customer service and the ability to maintain professionalism in a fast-paced, challenging environment.
- Exceptional prioritization skills, including the ability to make independent decisions regarding managing calendar requests and tasks

**_Up to 1 permanent full-time position_**

**Hours of Work**: 33.75 hours per week. The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.

**Salary**: $23.664 - $29.385 (Hourly); $41,690.050 - $51,769.020 (Annually)
