Overview:
As a Shipping and Receiving Administrative Assistant, you will be an essential part of our warehouse administrative team. Your role will involve a variety of tasks aimed at ensuring smooth operations within our shipping and receiving department. Below are the key responsibilities:

**1. Calendar Management**: Organize and manage schedules for the shipping and receiving team, including appointments, meetings, and deadlines.

**2. Data Entry**: Accurately input and update information into our database systems regarding shipments, inventory, and customer orders.

**3. Document Preparation and Processing**: Prepare shipping documents, invoices, and other necessary paperwork for outgoing orders. Process incoming paperwork, ensuring accuracy and completeness.

**5. Digital Filing**: Maintain digital filing systems for easy access to documents and records. Ensure all files are organized, labeled, and stored securely.

**6. Customer Liaison**: Serve as a point of contact for customers regarding order inquiries, delivery schedules, and any issues that may arise. Communicate effectively to provide excellent customer service.
- **Customer Communication**: Interact with customers regarding inventory, orders, and questions.
- **Appointment Coordination**: Schedule pick-up and delivery appointments with carriers.
- **Schedule Management**: Organize the daily shipping and receiving schedule for the warehouse.
- **Document Handling**: Print, prepare, and digitally file various shipping and receiving documents.
- **Software Utilization**: Use warehouse management software (WMS) for different tasks.
- **Courier Services**: Arrange local courier services like FedEx, Loomis, Purolator, and UPS.
- **Status Updates**: Proactively inform customers and internal departments about order statuses.
- **Cost Tracking**: Monitor and record warehouse additional costs for invoicing purposes.
- **Reporting**: Create Excel reports for customers and internal teams.
- **Meeting Participation**: Attend daily operations meetings.
- **Compliance**: Adhere to company standard operating procedures and safety policies.
- **Additional Tasks**: Perform related duties as needed.

**Requirements**:

- **Previous Experience**: Demonstrated track record in warehousing administrative assistant roles, showcasing proficiency in managing administrative tasks within a warehouse setting.
- **Shipping Expertise**: Strong comprehension of shipping processes and documentation, including familiarity with various shipping methods, regulations, and paperwork requirements.
- **Advanced Microsoft Office Skills**: Exceptional proficiency in Microsoft Office suite, particularly Excel **(important)**, with the ability to utilize advanced functions such as formulas, pivot tables, and keyboard shortcuts to streamline data management and analysis tasks.
- **Keyboarding Proficiency**: Advanced typing skills, ensuring efficient data entry and document processing.
- **Quick Learner**: Ability to swiftly grasp new computer software, facilitating smooth adaptation to evolving technology requirements.
- **Effective Communication**: Professional-level oral and written communication skills, with a strong emphasis on proper English grammar.
- **Phone Etiquette**: Demonstrated proficiency in handling corporate phone calls with professionalism and courtesy.

Pay: $18.90-$19.00 per hour

Schedule:
